    Organizational Support Intern

    RESPONSIBILITIES:

    • Act as the point of contact between the manager and internal/external clients
    • Screen, direct phone calls and distribute correspondence
    • Extensively manage e-mails including checking incoming/outgoing emails and following up as necessary
    • Respond accurately to internal and external information requests
    • Schedule and coordinate appointments and meetings
    • Source office supplies
    • Prepare reports and documentation for meetings and appointments
    • Devise and maintain office filing system
    • Organize travel arrangements, booking flights, accommodation, logistics
    • Taking notes and writing minutes during meetings
    • Assist with other ad-hoc administrative and project requirements as needed
    • Creation, upkeep and maintenance of an accurate record keeping,  filing and retrieval process
    •  Preparing communications on behalf of a manager
    • Conducting or preparing any research that the reporting manager may require

    JOB SPECIFICATION AND SKILLS REQUIRED

    • Bachelor’s degree or HND in Business Management, Economics or related field
    • Previous working experience as a Personal Assistant or Organizational Support Officer for a minimum of two (2) years
    • In-depth knowledge of office management systems and procedures
    • Discretion and confidentiality
    • Flexibility and adaptability
    • Outstanding organizational and time management skills
    • Ability to multitask and prioritize daily workload
    • Excellent communications and interpersonal skills
    • Tech-savvy and experience with word processing
    •  Active listening and good communication skills
    •  Proactive approach to problem-solving
    • Proficient in computer technology especially Microsoft Office applications
    • Strong customer service and social skills
    • Follows instructions clearly and accurately within a timely fashion
    • Proactive and enthusiastic about delivering positive results
    • Able to sit, walk, stand for long hours at a time
