    Head, Procurement and Inventory Management

    Responsibilities

    The Information & Protocol Officer is responsible for managing the institution’s information desk, ensuring the accuracy, consistency, and appropriateness of all institutional communications, and supporting the Vice Chancellor (VC) in public relations, media engagement, and protocol duties.

    He/she will serve as the central coordination point for information dissemination within the institution and the public, while functioning as a Personal Assistant (PA) to the VC on media, communication, and public relations matters.

    He/she is expected to;

    • Lead and supervise the Information Desk, ensuring timely, accurate, and professional responses to enquiries from students, staff, visitors, prospective students, partners, and the public while maintaining exceptional service standards.
    • Vet, verify, approve, and manage the dissemination of institutional information, ensuring all communications align with university policies, brand guidelines, approved messaging, and regulatory requirements.
    • Maintain and regularly update institutional information resources, including directories, FAQs, databases, communication materials, and reference documents to ensure the availability of current and accurate information.
    • Serve as the institution’s central information coordination point, managing internal and external information requests and facilitating effective communication across departments and stakeholder groups.
    • Provide executive communication support to the Vice Chancellor, acting as Personal Assistant on media, communication, public relations, and stakeholder engagement matters, including the preparation of speeches, press releases, talking points, presentations, and official correspondence.
    • Manage and protect the Vice Chancellor’s public image and communication agenda, ensuring consistency of messaging across media engagements, public appearances, interviews, publications, and digital communication channels.
    • Coordinate media relations and stakeholder communications by liaising with the Marketing and Public Relations Department, government agencies, partners, regulatory bodies, media organizations, and other external stakeholders to facilitate effective engagement and positive institutional visibility.
    • Monitor media coverage, public sentiment, and reputational risks relating to the institution, providing timely reports, strategic advice, and communication recommendations to the Vice Chancellor and senior management.
    • Plan, coordinate, and oversee protocol services for official engagements, including ceremonies, conferences, meetings, convocation events, and visits involving the Vice Chancellor, principal officers, government officials, dignitaries, partners, and international delegations.
    • Manage event logistics and protocol arrangements, ensuring compliance with institutional policies, national protocol standards, and established ceremonial procedures while preparing event briefs, schedules, itineraries, and stakeholder guidelines.

    Qualification & Experience

    • A Bachelor’s degree in Mass Communication, Public Relations, English, Business Administration, or a related field.
    • Minimum of 3–5 years’ experience in public relations, corporate communications, protocol, or administrative roles.
    • Experience working in a tertiary institution/Media or similar environment is an added advantage.
    • Strong writing, editing, and presentation skills.
    • Membership of relevant professional bodies (e.g., NIPR) is an advantage.
    • Proficiency in Microsoft Office tools and communication platforms.
    • Diplomacy and tact in handling sensitive information.
