    Executive / Personal Assistant & Office Administrator

    Our client, a firm operating in the Energy Investments & Philanthropy sector is recruiting to fill the position of an Executive / Personal Assistant & Office Administrator

    Job/Office Location: Lekki Phase 1, Lagos

    The responsibilities include;

    • Acting as the point of contact between executive management and internal staff / external clients
    • Screening and directing phone calls
    • Handling requests and queries appropriately
    • Managing and distributing paper and digital correspondence
    • Managing diary and schedule meetings and appointments
    • Making travel, transport and accommodation arrangements
    • Directing office visitors to meeting rooms
    • Source and manage office supplies and equipment
    • Ensuring office equipment are in good working order
    • Liaising with office service providers and supplies/equipment suppliers
    • Producing reports and briefs
    • Devising and maintaining office databases, filing and administrative systems
    • Collating expenses and requesting for reimbursements
    • Open and close office daily
    • Supporting executive management on miscellaneous tasks

    Requirements:

    • Proven work experience as a Personal Assistant and/or Office Administrator
    • Discretion and Confidentiality
    • Tact and Politeness
    • Knowledge of office management systems and procedures
    • MS Office 365 proficiency (Outlook Email / Calendar / Contacts, Teams, Word, Excel, PowerPoint, etc.)
    • Virtual meetings proficiency (Teams, Zoom, GotToMeeting, Skype, etc.)
    • Adobe Acrobat proficiency
    • Typing proficiency
    • English proficiency
    • Excellent verbal and written communications skills
    • Outstanding organisational and time management skills
    • Up-to-date with latest office gadgets and applications
    • Ability to multitask and prioritize daily workload
    • Professional dressing and grooming
    • Female or Male
    • University degree
    • Personal Assistant diploma or certification would be considered an advantage
