    Executive Assistant

    About the role:

    • The Executive Assistant will provide high-quality executive assistance and administrative support to the Managing Director. You will deliver an efficient organizational and administrative service to the Managing Director. You will also perform, coordinate, manage, and oversee the calendar of the Managing Director.

    Responsibilities

    • Coordinate daily management of the Managing Director's calendar and schedules
    • Utilize Microsoft Office Suite and Google Workspace tools (e.g., PowerPoint, Excel, Word, Teams, Canva) to create professional documents and presentations.
    • Prepare, research, and organize documents for board meetings, including agendas, reports, presentations, and minutes.
    • Ensure all board materials are distributed in a timely manner and meet the required quality standards.
    • Update the Managing Director on upcoming meetings and ongoing obligations.
    • Research and prepare documents for review by the Managing Director.
    • Attend meetings with the Managing Director where necessary.
    • Prepare for meetings and accurately record minutes of meetings.
    • Read and analyze incoming memos, submissions, and distribute them as needed.
    • Make travel arrangements for the Managing Director where applicable.
    • Perform office duties that include ordering supplies and managing a records database.
    • Receive and handle correspondence by sorting and evaluating them based on priority.
    • Provide general administrative support.

    Requirements

    • Ability to always maintain strict confidentiality and professionalism.
    • A Bachelor’s Degree in Humanities, Law, Social sciences, Business, or any related field.
    • At least 4-6 years of work experience as an Executive Assistant.
    • Excellent communication skills: at least level C1 in English.
    • Ability to work well under pressure and stay flexible when tight deadlines arise.
    • Good computer literacy and technological skills.
    • Proven ability to pay attention to details.
    • Profuse writing and presentation skills.
    • Good communication and interpersonal skills.
    • Ability to listen attentively and follow given instructions.
