Our Client, a reputable travel management and destination services company with established operations in ticketing, visa support, holiday packages, protocol services, corporate travel and customer service delivery, is seeking a professional, discreet and highly organised Executive Assistant to the MD/CEO.
The successful candidate will provide high-level administrative, scheduling, correspondence, meeting, documentation, digital office and follow-up support to the Managing Director/Chief Executive Officer.
The role requires someone who is well-spoken, proactive, technology-competent, detail-oriented and able to manage confidential information professionally.
Key Responsibilities
- Manage the MD/CEO’s calendar, appointments, meetings and daily schedule.
- Coordinate internal and external meetings.
- Prepare meeting agendas, meeting packs, reminders, notes and action points.
- Take accurate meeting notes or minutes where required.
- Track follow-up actions and pending matters.
- Draft, format and proofread emails, letters, memos, reports and presentations.
- Screen and prioritise calls, messages, emails and requests requiring the MD/CEO’s attention.
- Organise documents, records, correspondence and executive office files.
- Maintain digital filing systems and confidential records.
- Follow up with staff, clients, vendors and external contacts on assigned matters.
- Support executive travel, protocol and logistics arrangements where required.
- Use office tools, calendar tools, meeting platforms and task trackers effectively.
- Handle confidential business, staff, client and management information with discretion.
Key Requirements
- First degree or HND in Business Administration, Secretarial Administration, Office Management, Mass Communication, English, Humanities, Social Sciences or a related field.
- Minimum of 3 to 5 years’ relevant experience as an Executive Assistant, Personal Assistant, Administrative Officer, Office Manager, Executive Secretary or similar role.
- Experience supporting a CEO, Managing Director, Executive Director or senior executive will be an advantage.
- Excellent written and verbal communication skills.
- Strong organisation, scheduling, follow-up and document management skills.
- Good knowledge of Microsoft Office, especially Word, Excel and PowerPoint.
- Good knowledge of Google Workspace, including Gmail, Google Calendar, Google Docs, Google Sheets and Google Drive.
- Ability to use meeting platforms such as Zoom, Google Meet or Microsoft Teams.
- Ability to use task management or tracker tools such as Trello, Asana, Monday.com, Notion or similar tools will be an advantage.
- High level of confidentiality, discretion and professional judgement.
- Must be calm, proactive, detail-oriented and able to work under pressure.
Salary: ₦300,000 monthly gross
