    Executive Assistant - Female

    Responsibilities

    1. Calendar Management: Coordinate and manage schedules, appointments, meetings, and travel arrangements for executives. Remind and prepare them for upcoming commitments.
    2. Communication Handling: Handle incoming calls, emails, and correspondence on behalf of the executives. Filter and prioritize messages, ensuring timely responses and proper follow-ups.
    3. Documentation and Filing: Prepare and maintain documents, reports, presentations, and confidential information. Organize and maintain both physical and electronic files in a systematic manner.
    4. Meeting Support: Schedule and coordinate meetings, including room reservations, equipment setup, and agenda preparation. Take meeting minutes and provide necessary follow-up actions as required.
    5. Travel Arrangements: Make travel arrangements for executives, including flights, accommodations, transportation, and visa processing when necessary. Prepare travel itineraries and ensure all arrangements are in place.
    6. Event Coordination: Assist in organizing company events, conferences, and seminars. Coordinate logistics, handle registrations, manage invitations, and provide on-site support as needed.
    7. Office Management: Assist in the day-to-day operations of the office, including office supplies inventory, maintenance requests, and coordination with external service providers.
    8. Confidentiality: Handle sensitive and confidential information with utmost discretion and always maintain a high level of professionalism.

    Qualifications:

    • A recent graduate with a bachelor's degree in any field. Relevant coursework or internships in business administration, office management, or related fields are a plus.
    • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
    • Strong attention to detail and accuracy in work.
    • Excellent verbal and written communication skills.
    • Proficient in using Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
    • Professional and proactive attitude, with the ability to work independently and collaboratively in a team environment.
    • Strong problem-solving skills and a willingness to learn and adapt to new challenges.
    • Discretion and confidentiality in handling sensitive information.
    • Flexibility to work occasional evenings or weekends, depending on business needs.
