Reporting Relationships: Reports to the Site Operations Manager

Job Purpose

• To ensure that materials are properly received, accounted for, and maintained at the required quality and quantity levels to meet the Company’s needs.
• To provide support services to the factory.

Key Responsibilities

• Receive all types of bulk oil from Port Harcourt and other locations into the Beach Storage Tanks after sampling and approval by the Quality Control Laboratory.
• Issue or supply all types of oil from the storage tanks to the Bleaching Section as requested.
• Document all receipts of materials and maintain the abstract and all necessary records.
• Submit the daily stock sheet detailing all receipts made during the day to the Planning/Stores Manager.
• Conduct monthly call-overs and compare abstract records with physical stock figures to ensure accuracy and identify discrepancies.
• Report any unforeseen circumstances to the Manager and await further instructions.
• Perform any other duties that may be assigned by the immediate supervisor or Operations Manager.
• Provide on-the-job training for all subordinate staff.
• Ensure the provision and maintenance of safe working conditions.
• Control and maintain discipline among subordinate staff.
• Ensure that subordinates understand their job responsibilities.
• Systematically appraise the performance levels of subordinate staff.
• Communicate effectively with other supervisors on matters of organisational interest.
• Advise the immediate supervisor on up-to-date developments within the assigned area of responsibility.

Principal Accountabilities

• Ensure that the correct quality and quantity of oil are received at all times.
• Ensure adequate availability of materials to support effective operations.
• Ensure accurate documentation of all receipts and issues.
• Maintain accurate and timely records of all receipts and issues.
• Ensure that all records and documentation are complete and up to date.
• Maintain cleanliness and safety standards at all times.
• Ensure accuracy in monthly call-overs and stock comparisons, and promptly report any discrepancies or inconsistencies.
• Ensure that all assigned duties and responsibilities are carried out accurately and effectively.

Internal & External Relationships

• Work effectively with other staff to continually improve performance while adhering to legislative and Company standards.
• Work closely as a team with the Line Manager and other leaders to deliver set objectives.

Occupational Health & Safety (OH&S):
Key Activities:

• Be aware of workplace hazards within the area of responsibility and implement appropriate control measures to reduce associated risks.
• Achieve at least 85% closure of actions arising from monthly HSE inspections.
• Achieve at least 95% compliance with Behaviour-Based Safety (BBS) walk-around requirements.
• Train at least 65% of the workforce on safety awareness.

Environmental Management System (EMS) Objectives:
Key Activities:

• Understand roles and responsibilities and the importance of conformity with EMS requirements.
• Implement and comply with EMS requirements relating to environmental aspects and impacts, as well as other applicable policies, procedures, and regulations relevant to assigned duties.

Quality and Plan Compliance Delivery – GMP:
Key Activities:

• Ensure that manufacturing operations meet stipulated Good Manufacturing Practice (GMP) requirements.

Key Accountability:

• Maintain good knowledge of GMP requirements and ensure their proper application on site in line with PZC GMP standards and NAFDAC requirements.

Quality Management System (QMS) Objectives:

• Ensure the effectiveness of the Quality Management System (QMS) and contribute to the continual improvement of the system.

Internal and External Relationships:

• Work effectively with other staff to continually improve performance while adhering to legislative and Company standards.
• Work closely with the Line Manager and other leaders to deliver agreed objectives.

Qualification, Knowledge, Skills & Experience Needed

• OND, HND, or BSc in Social Sciences or Engineering.

Required Experience:

• Minimum of five years of work experience in a similar position.
• Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, Internet applications, and other relevant software.
• Excellent communication and presentation skills.
• Strong analytical and problem-solving skills.
• Ability to withstand stress and work effectively under pressure.
