    Admin Executive

    This role requires a proactive, highly organized, and detail-oriented professional who can manage multiple responsibilities, facilitate seamless communication, and coordinate strategic initiatives in an educational institution. The ideal candidate will have exceptional organizational skills, excellent written and verbal communication abilities, and a strong background in project coordination.

    Key Responsibilities

    Executive Support & Administration

    • Manage the Executive Director’s calendar, appointments, and travel arrangements.
    • Coordinate and prepare meeting agendas, presentations, reports, and official correspondence.
    • Ensure timely follow-up on action items and commitments made by the Executive Director.
    • Handle confidential and sensitive information with discretion and professionalism.
    • Manage office operations and oversee administrative support functions.

    Communication & Stakeholder Engagement

    • Draft, review, and edit internal and external communications, including emails, reports, and presentations.
    • Serve as the first point of contact for stakeholders, ensuring effective and professional communication.
    • Liaise with faculty, staff, students, board members, and external partners to facilitate collaboration and information flow.
    • Organize and support events, board meetings, and executive engagements.

    Project Management & Coordination

    • Track and coordinate strategic projects, ensuring alignment with institutional goals.
    • Assist in the planning, execution, and monitoring of institutional initiatives and programs.
    • Develop project timelines, track progress, and ensure deadlines are met.
    • Support the implementation of institutional policies and initiatives led by the Executive Director.

    Research & Data Management

    • Conduct research to support decision-making and strategic planning.
    • Compile data and reports on institutional performance, policies, and best practices.
    • Maintain organized records and documentation for reference and compliance purposes.

    Process Improvement & Operational Efficiency

    • Identify areas for administrative and operational improvement and propose solutions.
    • Assist in streamlining workflows to enhance efficiency within the Executive Director’s office.
    • Coordinate cross-departmental initiatives to foster collaboration and efficiency.
