    Administrative Assistant

    Overall Objective

    • The Grant/Administrative Assistant will provide essential administrative and operational support to the Global Fund Grant Management Unit (GMU).
    • This role ensures the smooth functioning of office processes, effective documentation, and support for staff, logistics, and reporting needs.
    • The position contributes to achieving programmatic and organizational objectives while maintaining compliance with donor and internal policies.

    Key Responsibilities
    Administrative and Operational Support:

    • Provide direct support to the office of the Coordinator, GMU.
    • Perform general office duties, including filing, photocopying, scanning, and maintaining records.
    • Maintain effective internal controls for inventory and stores, ensuring timely availability of office supplies.
    • Monitor asset conditions and promptly report damages or faults to the Admin Officer.
    • Supervise cleaning staff to ensure a consistently clean and tidy workplace.
    • Support the processing of staff leave requests.

    Documentation and Record Management:

    • Dispatch, document, and track movement (incoming and outgoing) of files, memos, and packages.
    • Participate in internal and external meetings, documenting minutes, and assisting in the preparation of presentations and reports.

    Payroll and Financial Support:

    • Assist in preparing monthly payroll and other staff allowances, ensuring timely and accurate submission.
    • Prepare and submit expense reports and reimbursement requests

    Logistics and Travel Management

    • Arrange travel logistics for grant-related activities, including airport and hotel pickups where required.
    • Provide support in organizing meetings, workshops, and conferences, ensuring all logistics are covered.

    Other Duties:

    • Ensure compliance with organizational and donor guidelines in all tasks.
    • Undertake additional duties as assigned to support GMU operations.

    Qualifications and Experience

    • A University Degree, HND, or recognized equivalent in Administration, Management, or a related field.
    • Minimum of 2 years of relevant experience in administrative or project assistant roles.
    • Experience working with Global Fund grants is an added advantage.
    • Familiarity with the Nigerian public health sector is highly desirable.

    Skills and Competencies:

    • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
    • Knowledge of grant management software or tools is an added advantage.
    • Strong organizational and multitasking abilities.
    • High proficiency in English, both written and verbal.
    • Ability to draft quality reports, minutes, and official correspondence.
    • Strong intrapersonal and interpersonal communication skills.
    • Goal-oriented with a proven ability to meet targets under pressure.
    • Attention to detail and excellent problem-solving skills.
    • Flexible, with demonstrated integrity and cultural awareness.
    • Ability to work independently and collaboratively as part of a team.

    Data Entry Clerk

    Specific Objective.

    • To ensure data generated at public and private health facilities within the LGA are reported accurately and in a timely manner for use by the Local Implementation Team and the State program.

    Responsibilities

    • Work with the LGA Focal Persons, M&E Officers and LACA structures to ensure that all facilities offering HIV services within the LGA are reporting timely and quality HIV data.
    • Conduct supportive supervision visits to health facilities providing HIV services within their respective LGAs. Visit at least 3 facilities per week with evidence of visits (Signed supervision visits register).
    • Ensure adequate availability of M&E (PMM and PME) Tools across the supported health facilities (public and private)
    • Work with the Logistic Officer (SASCP) to ensure there are No Stock Out of HIV Commodities at the facilities (public and private)
    • Submit quality and complete HIV reports (HTS, PMTCT, ART) on the new national reporting platform - National Data Reporting System (NDARs) on or before 10th of the following month.
    • Work with the Implementing Partners within the facility to ensure provision of quality HIV services and routine data is promptly provided to the State AIDS Control Program unit.
    • Work with Local Implementation Team (which includes the LGA FP, LGA M&E officer) on coordination and implementation of the HIV activities in their LGAs using data to make informed decisions.
    • Attend the quarterly State-level Data Validation Meetings and make presentations as required.
    • Participate in other grant-related activities where attention/services are required.
    • Any other task as assigned by the Supervisors at the LGA and State level.
    • Reporting to: State AIDS Program Coordinator (SAPC)

    Overall Objectives:

    • To support in carrying out collection, collation, and upload of data generated at public and private health facilities offering HIV services across the state.

    Specific Objectives & Duties:

    • Transfer data from paper format into a computer file or database system
    • Input data provided by the facility data entry clerk.
    • Verify data by comparing it with source documents.
    • Update existing data.
    • Retrieve data from the database or electronic files as requested.
    • To work with L-SACA/ Community mobilizers for Advocacy and social mobilization for HIV services.
    • Strengthen referrals (facility to facility and community to facility)
    • Facilitate and assist in tracking clients with the IP in charge of the LGA.
    • Ensure that all Facilities offering HIV services within the LGA are reporting timely data.

    Experience and Qualifications

    • Proven experience as a Data Entry Clerk with not less than 1 year of work experience
    • Excellent knowledge of MS Office Suite, including Word, Excel and PowerPoint
    • Proficiency in electronic data/information systems/Database (e.g. EMR, EHR)
    • Great attention to details
    • Minimum qualification of National Diploma Certificate.
    • Experience working with NGOs, Government, Public Health Programs etc., will be an added advantage.

    Medical Laboratory Technician

    Duties and Responsibilities

    • Understand and implement operation policies, procedures and guidelines.
    • Collect blood samples for CD4, Hematology, Chemistry, Viral load and Dried Blood spot (DBS) samples for Early Infant Diagnosis (EID).
    • Separate the blood samples collected for analysis purposes.
    • Ensuring that separated sample are well kept before and after analysis before final deposition.
    • Ensuring that collected samples are well registered, recorded, properly authenticated and finally documented.
    • Work with PCR Lab Focal Person in preparing a routine program performance and progress charts for the PCR Lab.
    • Assist Scientists on their day to day activities.
    • Ensure prompt response to Client and Client’s rights are well protected.
    • To make necessary correction(s) as need be.
    • Attend monthly coordination meetings of PCR Lab Team.
    • Perform other duties as may be required within technical competence.

    Qualifications and Experience

    • A certificate of Medical Laboratory Technician or a related field.
    • Minimum of 5 years of relevant experience in Laboratory services.
    • Experience working with Global Fund grants is an added advantage.
    • Familiarity with the Nigerian public health sector is highly desirable.
