    Executive Assistant

    Location: Lekki Phase I, Lagos
    Industry: Event Management

    Job Description

    • The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf.
    • Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.

    Responsibilities

    • Calendar management for executives
    • Aid executive in preparing for meetings
    • Responding to emails and document requests on behalf of executives
    • Draft slides, meeting notes and documents for executives
    • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
    • Liaise with vendors, exhibitors, and stakeholders during the event planning process to ensure everything is in order.
    • Assist in booking venues, entertainers, photographers, and schedule speakers.
    • Conduct final inspections on the day of the event to ensure everything adheres to the client’s standards.
    • Maintaining comprehensive and accurate records and Performing minor accounting duties
    • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
    • Answering phone calls in a polite and professional manner
    • Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters
    • Identify customers’ needs and recommend new topics.

    Qualifications

    • Bachelor's Degree or equivalent with 2 - 5 years work experience.
    • Proficient in Microsoft Office suite
    • Experience in managing multiple priorities, administrative coordination, and logistics
    • Well-organized, detail-oriented, ability to multi-task with great follow-up skills
    • Strong written and verbal communication skills
    • Outstanding vendor management skills.

    Salary
    N150,000 - N250,000 monthly.

    Personal Assistant

    • Acting as a first point of contact: dealing with correspondence and phone calls.
    • Managing diaries and organising meetings and appointments. Many PAs control access to the manager/executive.
    • Booking and arranging travel, transport and accommodation.
    • Organising events and conferences.
    • Reminding the manager/executive of important tasks and deadlines.
    • Typing, compiling and preparing reports, presentations and correspondence.
    • Managing databases and filing systems.
    • Implementing and maintaining procedures/administrative systems.
    • Liaising with staff, suppliers, client, vendors, exhibitors, and stakeholders during the event planning process to ensure everything is in order.
    • Collating and filing expenses.
    • Conducting research on behalf of the manager.
    • Assist in booking venues, entertainers, photographers, and schedule speakers.
    • Conduct final inspections on the day of the event to ensure everything adheres to the client’s standards.
    • Maintaining comprehensive and accurate records and Performing minor accounting duties.

    Qualifications

    • Bachelor's Degree or equivalent experience
    • Proficient in Microsoft Office suite
    • Experience in managing multiple priorities, administrative coordination, and logistics
    • Well-organized, detail-oriented, ability to multi-task with great follow-up skills
    • Strong written and verbal communication skills

    Salary
    N100,000 - N150,000 monthly.
