    Controller, Inventory (Spares)

    Job Function

    • Responsible for management of spare parts inventory operations and this include analysis, forecasting, monitoring of reorder levels, disposal of scraps and cash disbursement management.

    Key Performance Areas
    Spare Part Availability:

    • Coordination of day-to-day running of spare parts store
    • Supervises the activities of the Inventory personnel in maintaining good warehousing best practice.
    • Ensure timely branding of new stock of tyres before issuance for usage and taking to the system with serial and branded numbers.
    • Monitoring re-order levels for stock items and making requests for purchase when such are reached, manually and on the system.
    • Ensure there is Purchase Order for all material items supplied into the store.
    • Ensure that all Store Issue Vouchers and work order print out are duly authorized before approving and closing.
    • Ensure regular and periodic stock-count of Spare parts stocks, Lubricants and Tyre stock (to maintain integrity of stock position)
    • Ensure proper records (both system and manual) are kept for all stock items.

    Financial Roles:

    • Approve GRN for all customers’ invoices.
    • Ensure of all Job orders and vehicle maintenance / repairs work orders into Instanta.
    • Ensure proper branding of new stock of Tyres for ease of identification, reconciliation & accountability.
    • Ensure proper documentation of all inventory items received and issued and carry out monthly reconciliation of the Stocks (Tyres, Spare Parts, and Lubricants) accounts.
    • Maintain and manage tyre inventory for first expire first out.
    • Ensure old parts are returned before collecting new parts.
    • Ensure correct booking of all accounting entries relating to inventories in transport operations.
    • Provision of accurate, reliable, and timely financial reports that will assist management in effective planning and decision making.

    Disposal Management:

    • Ensure used part are return to the scrap bin and recorded on the system.
    • Making advertisement of all scrap items in conjunction with the location disposal committee after Asset and Inventory Manager approval.
    • Taking prospective bidders to see the scrap items.
    • Analysing the submitted bids.
    • Ensure sale advise letters are shared with the winning bidder.
    • Ensure payment and removal of scraps by bidder.
    • Ensure the scrap area is kept neat always.

    Requirements
    Qualifications Required:

    • BSc / HND in Accounting, Business Administration, or any other related discipline.

    Experience and Skills Required:

    • Minimum of 3-5 years' experience.
    • Complete inventory management experience.
    • Inventory planning and forecasting for spares.
    • Experience in the use of software like SAP and Instanta.
    • Proficiency in data analysis tools and reporting systems.
    • In-depth knowledge of asset tracking systems, inventory management software, and accounting principles.

    Manager, Procurement & Inventory

    Job Function

    • The Procurement and Inventory Manager is a strategic professional responsible for overseeing the organization's assets, procurement, and inventory management processes.
    • This role combines technical expertise in asset tracking, lifecycle management, procurement management and inventory control to ensure efficient utilization of resources.
    • The Procurement and Inventory Manager play a pivotal role in maintaining accurate records, optimizing asset performance, and implementing effective assets, procurement and inventory management strategies.
    • The leadership provided by this position is essential to long-term operational sustainability and organizational growth.

    Key Performance Areas
    Strategic Procurement Leadership:

    • Develop and execute all procurement strategies aligned with business goals and budgetary requirements.
    • Lead enterprise-wide sourcing, contract negotiation, and vendor performance management.
    • Ensure compliance with internal policies, legal requirements, and sustainability standards in all sourcing activities.
    • Oversee all procurement activities including contract negotiations, purchase order processing, and vendor management.

    Inventory Control & Optimisation:

    • Lead the implementation of robust inventory control procedures within the allocated budgets, optimizing stock levels and reducing carrying costs while ensuring availability of spare parts to minimize operational downtime.
    • Utilize sophisticated inventory management systems to track stock movements, monitor reorder points, manage stock replenishment, and enhance inventory accuracy and efficiency.
    • Oversee inventory planning, optimization, and control for consumables, repair parts, and operating supplies across all transport sites.
    • Design and implement robust inventory policies and WMS/ERP-integrated controls to ensure availability, accuracy, and visibility.
    • Lead efforts to reduce holding costs, minimize obsolescence, and improve stock turnover ratios.

    Asset Lifecycle Management:

    • Develop and implement comprehensive asset lifecycle management strategies, considering the USD 20m asset base, USD 6 million fuel budget, USD 1.2 million tire budget, and USD 1 million spare parts budget, to ensure optimal utilization and cost-effectiveness.
    • Utilize advanced asset tracking systems to meticulously monitor the acquisition, deployment, and retirement of assets within budgetary constraints, aligning with financial objectives.
    • Conduct regular audits to ensure compliance with asset management policies and procedures, optimizing asset performance and lifespan.
    • Collaborate with Finance, Operations, and Facilities to maintain an accurate asset register.
    • Support CAPEX planning processes.

    Fuel Consumption Management and Cost Optimisation:

    • Take charge of monitoring and analyzing fuel receipt, storage and issuance patterns across the organization's fleet, leveraging the USD 6 million fuel budget to drive fuel efficiency strategies and cost reductions.
    • Collaborate closely with cross-functional teams to track fuel consumption data, identify areas for improvement, and implement innovative solutions to optimize fuel usage within budget constraints.
    • Implement strategies to optimize fuel efficiency, reduce operational costs, and mitigate environmental impact, aligning with sustainability goals and regulatory requirements.
    • Design and enforce fuel usage policies and SOPs to ensure consistency and compliance across all operational sites
    • Ensure all fuel sensors/probes on trucks are functional, accurate, and within specified tolerance levels.

    Asset Valuation, Depreciation Tracking, and Financial Reporting:

    • Conduct regular asset valuations, to ensure accurate asset accounting and financial reporting, maintaining transparency and compliance with financial regulations.
    • Collaborate with finance teams to ensure precise financial reporting related to assets, including depreciation schedules, asset valuations, and budget variances analysis.

    Risk Management and Compliance:

    • Identify, assess, and mitigate risks associated with assets, inventory, and fuel consumption, integrating budgetary considerations into risk mitigation strategies to safeguard organizational resources.
    • Collaborate effectively with relevant stakeholders, including finance, operations, and procurement teams, to proactively address and resolve potential risks while aligning with budgetary objectives.
    • Ensure compliance with regulatory requirements, industry standards, and internal policies related to asset management, inventory control, fuel consumption, and financial reporting, minimizing legal and financial risks.
    • Partner with Finance, Fleet, Warehousing, IT, and Projects teams to ensure procurement, inventory, and asset activities are fully aligned with business needs.
    • Drive transformation initiatives including digital procurement, inventory standardization, and asset performance monitoring.
    • Act as a change agent, fostering cross-functional collaboration and system adoption.

    Qualifications Required

    • Possess a Bachelor's degree or HND in Business Administration, Supply Chain Management, Economics, Sciences or a related field, demonstrating a deep understanding of financial concepts, strategic planning, and operational optimization

    Experience and Skills Required:

    • Minimum 8 years' experience.
    • Showcase extensive experience and proven expertise in procurement management, inventory control, asset management, financial analysis, vendor management, risk management, and data analytics through a successful track record of managing multifaceted projects and initiatives.
