    Cleaners

    Slot: 2 Abuja, 1 Maiduguri (3 positions)

    Overall Purpose of Role:

    The Cleaner ensures the cleanliness of the houses and takes care of the cleanliness of personal linen and other linen. In addition, the Cleaner will perform routine administrative and logistical tasks.

    Main Duties and Responsibilities:

    Cleaning

    • Clean ceilings, windows, windowsills, furniture and equipment, main entrances and terraces on a daily basis.
    • Wash the floors on a daily basis.
    • Wash bathrooms, toilets and kitchens on a daily basis.
    • Empty the bins daily and ensure that the inside of the bins is cleanly cleaned.
    • Properly store cleaning equipment.

    Laundry 

    • Change when requested or at least once a week the sheets and pillowcase of each occupied room. 
    • Change when requested or at least once a week the towels in the bathrooms.
    • Extend the blankets of each room outside at least once a week. 
    • Organizes the personal laundry of employees, towels and sheets of the houses.
    • Ensure the proper ironing of personal linen and household linen.

    Kitchen and Food

    • When requested by the expatriate employee, purchase fruits, vegetables and other foodstuffs.
    • Keep kitchens clean and store utensils properly.

    Logistics and Administration

    • Verify and ensure that hygienic equipment and cleaning products are available in homes and submit to the Administrator a statement of needs when necessary.
    • Ensure that window locks, French doors, doors work properly.
    • Ensures that all doors and windows are closed all the time.
    • Report to the Administrator on any necessary maintenance and repairs of the facilities of the houses.

    PERSON SPECIFICATION

    Knowledge, Skills and Experience

    Essential:

    • Excellent French (if Francophone country), spoken and written.
    • State Diploma.
    • A training certificate in food preparation.
    • Previous working experience with international staff.

    Nice to Have:

    • Experience working with NGOs
    • Speaking and writing English (If Francophone Country)

    Driver

    Overall Purpose of Role:

    The driver is responsible for the movements of the personnel, the partners, the transport, and the delivery of the equipment / materials of the mission and the mail between different sites. The position holder is responsible for the use and maintenance of INSO vehicles with the laws and regulations that govern their use. 

    Main Duties and Responsibilities:

    • Responsible for the daily care and maintenance of vehicles, including cleaning, periodic maintenance checks, any repairs, etc. 
    • In case of replacement of a defective part, ensure that the used part is brought back to the store and registered in the used parts register and return the balance and supporting documents to the cashier upon return to the office.
    • Responsible for safety in, and around, the vehicle for all the passengers, i.e., adhere to vehicle’s maximum capacity, refusing the transport of any armed persons, and secure cargo transfers.
    • Responsible for knowing and obliging to the country’s Highway Code.
    • Responsible for driving only INSO employees and cargo.
    • Obtain relevant authorizations, which will be kept in the vehicle, from INSO manager to provide transportation for any other passengers. 
    • Provide increased assistance to passengers arriving from outside and assist in loading and unloading luggage and/or cargo.
    • Carry out pre and post field trip checks and inspections as required. 
    • Keep the vehicle clean inside and outside both when leaving and returning from the field a special care with fragile equipment: computer equipment, radio, documents 
    • Ensure that all parts relating to the circulation and driving of the vehicle are on board and are valid; and also ensuring that the logbook and the accident report forms are present.
    • Responsible for the transmission of information in an event of the accident or incident.

    PERSON SPECIFICATION

    Knowledge, Skills and Experience

    Essential:

    • A College degree, State Diploma, or SSCE.
    • Excellent English language and native language skills, both written and verbal
    • Valid driver’s license for relevant vehicles
    • Minimum 3 year’s driver experience
    • Able to work autonomously and organize own schedule to accomplish the expected tasks.
    • Auto mechanics knowledge

    Nice to Have:

    • Communication skills

    • Good English language skills, both written and verbal

    Operations Officer

    Overall Purpose of Role:

    The Operations Officer will support in carrying out INSO operations including (but not limited to) procurement, admin tasks, and other functions. The position will as part of the Operations team. 

    Main Duties and Responsibilities:

    Procurement:

    • Assist supervisor in procurement activities, in collaboration with Operations and Program teams
    • Ensure the procurement process is as per the SOPs, with proper documentation supporting all the purchases
    • Assist with identification of suitable vendors, collection of price quotes, documentation of procurement process, and management of electronic and paper procurement files
    • Responsible for circulating RFQs, preparing bid analysis, and issuing purchase orders
    • Assist in coordinating logistical arrangements for project-related events, workshops, seminars, and other training activities
    • Responsible for managing & preparing service level agreements for the smooth running of project activities
    • Help manage and administer office resources, including office space, assets including laptops, other related office systems and equipment.
    • Maintain and update CO inventory list as per INSO requirements and submit quarterly reports.
    • Ensure all assets are tagged and keep record of movement of assets.
    • Ensure physical verification is done on a bi-annual basis.
    • Monitoring of vehicle movement through vehicle log sheet 

    Administration:

    • Support the organization of team events (meetings, workshops, etc).
    • Maintains a central filing system for required documents and forms.
    • Support the development and systematic management of internal policies and their implementation across INSO operations
    • Organize and process purchase requests, quotations, purchase orders, and goods received notes and  submit to finance for payment.
    • Help conduct compliance checks, donor due diligence, and other regulatory responsibilities.
    • Fulfil other administrative functions as required
    • Organize flight bookings for all staff and goods, and ensure all staff and goods have proper documentation before travelling
    • Have good working relationship with flight partners such as UNHAS and local travel agents for Commercial Flights
    • Ensure all invoices are sent on time for payment from our flight partners.
    • Carry out any other task assigned

    PERSON SPECIFICATION

    • A Degree in Business Administration, Supply chain, HR, Logistics, or relevant field.
    • Excellent English and local language skills, both written and verbal.
    • Minimum 5 years of relevant work experience, preferably with NGOs.
