    Executive Assistant to the Executive Director

    POSITION

    EXECUTIVE ASSISTANT TO THE EXECUTIVE DIRECTOR 

    Job Summary

    • The Executive Assistant provides high-level administrative support to the Executive Director with the day-to-day business of the organization including scheduling meetings and maintaining the director’s calendar, preparing correspondence, coordinating travel, other related functions.

    • This individual exhibits a high level of professionalism and possesses excellent written and verbal communication skills and interpersonal skills to interact with donors, board members, clients, and staff under the direction of the Executive Director.

    • This individual is a self-starter, extremely organized, and has a keen eye for detail, and highly developed problem-solving skills.

    Responsibilities

    • Monitor and manage all phone calls and emails, prioritise actions, and escalate where necessary for the E.D.

    • Extensive diary management including high-level meetings with internal and external stakeholders, VIPs, and other appointments and commitments

    • Extensive travel management including flights, accommodation, itineraries, and expenses

    • Prepare and format documentations including correspondences, presentations, meeting agenda, minutes, submissions, and reports

    • Maintain filing system and databases and action incoming and outgoing mails

    • Other administrative duties as directed

    Minimum Qualifications

    Education:

    • Degree in a related field or equivalent experience

    • (Additional professional-level administrative services or social service experience may be an added advantage)

    Experience:

    • The equivalent to five years of full-time in a similar capacity, professional-level administrative or managerial experience, preferably in an NGO service delivery setting.

    Resource Mobilization Manager

    Position Summary

    The Resource Mobilization Manager will be responsible for supporting the development and implementation of AYGF’s overall organisational resource mobilisation strategy. S/he will ensure proper relationship building to cultivate and leverage an ever stronger donor support base for AYGF across select bilateral, multilateral, philanthropic, and corporate partners. Working closely with other Program teams, s/he will lead the development and presentation of proposals to potential donors and partners, support teams on compliance to donor and AYGF requirements during project implementation, and coordinate stakeholder management across donors on an ongoing basis to maximize delivery of the strategic partnerships and shared mission. 

    The position will be based in Abuja, Nigeria.

    Key Responsibilities:

    • Resource mobilization strategy and systems development

    • Developing and maintaining a current understanding of AYGF’s programs.

    • Anchoring on AYGF’s institutional resource mobilisation strategy, assist in the design, implementation and coordination of an institution-wide, comprehensive donor relations and stewardship system that fosters positive and mutually rewarding relations between AYGF and its donors.

    • Contribute to and review AYGF’s strategy documents and knowledge management products to help best position the institution for resource mobilisation.

    Donor cultivation

    • Under the guidance of the Human Resource unit, take initiatives to expand AYGF’s current donor base, through effective stewardship and new funding opportunities as may be developed to grow donor support for AYGF

    • Working with other Resource Mobilisation Officers, develop concept notes, proposals and budgets which drive the achievement of AYGF’s strategic plan and align with both AYGF and donor priorities.

    • Prospecting bilateral, multilateral, philanthropic, and private sector partners and translating partnership opportunity into both funds and leverage in furtherance of program and resource targets.

    • Provide other support as required in the implementation of the Resource Mobilisation Strategy.

    Donor management

    • Establish and maintain strong relations with a portfolio of donors as a foundation for resource mobilisation efforts. Includes gathering intelligence and analyzing key trends in individual donor policies and plans vis-à-vis AYGF;

    • Organize briefings, meetings, visits and events with current and prospective donors, coordinate programmatic and logistical arrangements, draft reports and set action plans for follow-up;

    • Respond to internal and prepare response to external queries regarding donor contributions;

    • Support teams to ensure compliance on donor and AYGF requirements, including ensuring timely and quality reporting

    • Leadership support and external engagement

    • Have regular communication with donors, prospective and established, while working closely with AYGF’s Communication Unit to coordinate inputs to external events and opportunities

    • Support the Chief of party in identifying representational events with the potential for meaningful donor interaction. Provide proactive and timely advice to senior management on strategic interaction with individual donors.

    • Represent AYGF at external forums and meetings on occasion to position the institution with donors and partners critical to achieving AYGF’s strategy.

    Key Qualifications and Experience required

    • Master’s degree in International Development, Public Finance, Public Administration, Rural Development, Social Sciences, or any other relevant field;

    • High level experience of at least 7 years in international development with demonstrable success in resource mobilization for local or international organizations;

    • Ability to work with donors as well as manage and build strategic donor relations; sound understanding of the donor financing landscape and processes;

    • Ability to work on performance-based targets for fundraising;

    • Fluency in English; Knowledge of French will be an advantage;

    • Results-oriented, accountable, proactive and able to work on behalf of AYGF with a wide range of stakeholders;

    • Ability to work effectively within multi-disciplinary teams;

    • Strong quantitative and analytical skills;

    • Excellent written communication skills;

    • Results-oriented and accountable;

    Manager – Health Care Waste Management (HCWM)

    About Project:

    AYGF’s Immunization Plus and Malaria Progress by Accelerating Coverage and Transforming Services (IMPACT) project aims to increase access and utilization of integrated, community-based malaria prevention and treatment activities in the target and participating states of Ekiti.

    The objective of the project is to strengthen the delivery and promotion of the uptake of malaria prevention and treatment services especially in rural communities where the burden of malaria is the greatest, in participating states of Nigeria.

    Education and Experience/Qualifications
    the ideal candidate should have:

    • Degree in Environmental or Medical Sciences or any other science course with master’s degree in any of these courses (Public Health, Environmental/Medical Sciences, any other relevant courses) and at least five (5) years of progressive experiences in HCWM;  
    • The consultant is expected to have previous experience in the preparation of HCWM technical instruments recognized by the World Bank, strong country knowledge and of World Bank safeguard policies, experience in hazardous/HCWM activities;
    • At least five years’ experience in developing training manuals or other training documents for programs/projects funded by multilateral agencies specifically on hazardous/HCWM, working experience in Nigeria or developing country under similar condition;
    • Good technical and organizational background in performing hazardous/HCWM for programs/projects, and ability to cooperate and interact with stakeholders including facilitating meetings and workshops.

    Manager – Grievance Redress Mechanism

    • · Interested consultant should possess a minimum of graduate degree in relevant social sciences or equivalent with at least 5 years of practical experience in national and/or international environmental and social safeguard assessments. A Postgraduate degree will be an added advantage;
    • · Other competence and experience include: Good understanding and/or experience working with government institutions in Nigeria, expertise in conflict resolution, including setting up grievance mechanisms and negotiate solutions, expertise in participatory approaches to conflict resolution, specialized in social risks and issues related to conflicts over land use, natural resources management and services provision/utilisation, understanding of traditional or customary means of conflict resolution and/or grievance redress at the service provision/utilization and at the community levels in Nigeria;
    • · Understanding of the project development objective and Implementation, understanding of World Bank Operational policies and Grievance Redress guideline, experience in litigating conflicts arising from natural resources conflicts, understanding of legislative processes and legal systems of Nigeria, experience in high-level legal analysis through different legal analytical frameworks, solid experience in policy and socio-economic analysis, experience in social and environment assessment and in the application of safeguards policies, and understanding of the Nigeria’s institutional system and actors.

    • In-depth knowledge of M & E techniques and methodologies including knowledge of conducting operations research, household surveys and qualitative assessments; data analysis, interpretation and reporting; and
    • Proficient with analytical tools and software such as Stata, SPSS, MS Excel, etc. Knowledge of other Nigerian languages will be an asset.

    • Knowledge and ability to work on ICT tools for inventory management, logistics and supply chain management;

    • Master’s Degree or equivalent in a relevant discipline (public health/epidemiology/medicine/nursing/parasitology/tropical medicine) with minimum of 7 years of experience;
    • Demonstrated experience of planning and management of malaria programming in developing countries including Nigeria. Experience from African countries will be an asset;
    • Strong knowledge and experience of delivering or providing technical assistance for the diagnosis and management of uncomplicated and complicated/severe malaria and prevention including Intermittent Preventive Treatment to pregnant women (IPTp) in accordance with the most current national protocols and treatment regimens;
    • Familiarity with analytical tools and ability to translate theoretical concepts into practical approaches for operational work; and
    • Strong communication skills (oral and written) in English. Knowledge of other Nigerian languages will be an asset.

    Project Director and State Team Lead

    About Project:

    AYGF’s Immunization Plus and Malaria Progress by Accelerating Coverage and Transforming Services (IMPACT) project aims to increase access and utilization of integrated, community-based malaria prevention and treatment activities in the target and participating states of Ekiti.

    Education and Experience/Qualifications
    the ideal candidate should have:

    • Master’s Degree in a relevant field (e.g., Epidemiology, Public Health, Tropical Medicine, Parasitology or Equivalent);
    • At least 12 years of experience managing development projects, preferably in African countries with a strong focus on field implementation;
    • Experience managing projects with a mix of facility and community-based interventions is required.
    • Experience managing projects with a focus on behavior change would be an asset;
    • Demonstrated track-record with project management, monitoring and evaluation, and
    • Strong communication skills (oral and written) in English.
    • Proof of strong interpersonal and negotiating skills
    • Excellent report writing and presentation skills are also needed
    • Understanding of public health issues in West and Central Africa
