    Executive Assistant to CEO

    A vacancy has arisen in a reputable Insurance Brokage Company
    REQUIREMENTS

    • A Bachelor’s degree or diploma (preferably in business administration, commerce, accounting or other administration-related course).
    • Professional qualification such as ICAN, ACCA is an added advantage.
    • Minimum of three (3) – five (5) years’ experience as Personal Assistant, Office Manager, or similar roles.
    • Strong Organizational planning and multi-tasking.
    • Top-notch judgment, initiative, and decision-making ability.
    • Excellent Communication skills.
    • Strong analytical and problem-solving skills.
    • Information gathering and monitoring skills.
    • Organized and able to prioritise and ensure smooth execution of tasks.
    • Fluency in English – spoken and written.
    • Strong attention to detail and accuracy.
    • Professional knowledge of all Microsoft Office programmes i.e., Microsoft Word, Excel, PowerPoint, and Outlook; Experience with e-mail campaigns and calendar management or other organization software is a plus.
    • Proximity to the Island would be an advantage.

    JOB DESCRIPTION

    • Manage, coordinate, and maintain calendar of CEO including official, personal, and family appointments, meetings, and travel.
    • Responsible for organising CEO travel and logistics including flights, visa requirements, hotel accommodation, car rental, meeting schedules while travelling and completing expenses.
    • Responsible for organising internal and external meetings on behalf of the CEO ensuring all necessary arrangements are made e.g., meeting venue, equipment, presentations, prepare agendas.
    • Provide executive and administrative support to CEO including but not limited to personal legacy projects and finances, gifts and public relations, and home staff management.
    • Monitor and respond to incoming communications (including complaints) to CEO’s office including phone calls, emails and walk ins, and ensuring correct department distribution.
    • Secretarial support for meetings as and when required by the CEO, including drafting, and circulating meeting agendas, preparing minutes, communicating meeting reminders, confirming venues, and arranging refreshments, writing, and distributing comprehensive minutes and action points to all members post meeting.
    • To be a first point of contact for telephone and email enquiries to the Office of the CEO, assist with queries as and when necessary, some of which may be of a sensitive and/or confidential nature.
    • Drafting and writing high quality reports and presentations, as required by the CEO.
    • Communicating important updates and information to Employees, Staff and Management on behalf of CEO, as requested.
    • Responsible for managing CEO’s personal driver’s daily schedule in line with CEO’s daily requirements.

    Head, HR/Legal and Support services

    • A Bachelor’s degree in law or related fields.
    • Relevant post-graduation training / qualification (Certification; ICSAN).
    • Three (3) – seven (7) years’ post-qualification work experience in a law firm, in a formal business setting and in supervisory capacity.

    Job Description

     

    • Employee’s engagement and performance management.
    • Ensure Human Capital Management Officers (HCMO) assist in arranging training activities.
    • Review all payroll contents and deductible elements (PAYE, ITF NHF, Pension…etc.) for appropriateness.
    • Market and Manage Leases.
    • Review all financial information relating to properties.
    • Carryout trend analysis on occupancy rate.
    • Ensure loans are effectively recovered.
    • Process complex legal documents.
    • Craft workable and executable agreements for all the Groups business activities.
    • Advise the executives and employees on changes to the laws affecting the company.
    • Oversee lawsuits, possibly acting as chief litigator.
    • Ensure the company fills out and submits all its legal paperwork.
    • Increase the company's profitability and shareholder value as senior manager.
    • Ensure there exist a register of all legal documents in respect of the company’s identity such as the CAC documents, MEMART…etc
    • Keep all Agreements and security documents tendered as collateral are registered, enveloped, and identified.
    • Ensure the legal department maintains records of all Board meetings and are duly signed by authorized officers.
    • Review all security documents kept in custody to detect if any are due for return to their owners.
    • Ensure that notices of AGM and Board meetings are timely dispatched.
    • Ensure that all litigation files are registered, and status reports are rendered monthly.
    • Any other jobs as may be assigned by the Group Managing Director/CEO

    Head, Business Development

    Requirements

    • A Bachelor's degree in banking, finance, accounting, social sciences, or any numerate course.
    • Minimum of eight (8) years’ relevant experience in sales marketing for any sector in Financial Institutions (FI) industry.
    • Proven track record of outstanding performance in a previous complex enterprise.
    • Proven track record of managing complex budgets successfully.
    • Demonstrated experience of ethical leadership.
    • Outstanding verbal and written skills, and experience working with staff on all levels.
    • Ability to make business projections three years into the future.
    • Working knowledge of data analysis and performance/operation metrics
    • Working knowledge of IT/Business infrastructure and MS Office.
    • ICAN, ACCA, CFA certification is an added advantage.

    • Work together with business development managers and other key stakeholders to compile the budget.
    • Spearhead marketing strategies to steer the company’s future in a positive direction.
    • Control company costs and introduce tactical initiatives to address credit losses.
    • Monitor invoices, money handling procedures, accounting, and bank processes.
    • Evaluate performance by analyzing and interpreting data and metrics
    • Write and submit reports to the CEO in all matters of importance
