    Executive Assistant

    Job Description

    • Serve as the principal administrative and support.
    • Work ranges from office support assignments to performance of administrative duties involving decision-making and judgment.
    • Communication and public contact are major components of job, both internal and external to the organization.
    • Work requires contact with all levels of management and staff within the organization, client representatives, government agencies and vendors.
    • Serves as a liaison between Chief Executive Officer, reporting units and other business areas and external agencies for the purpose of relaying instructions and information and following commitments through to completion.
    • Manages and monitors a variety of information impacting the Chief Executive Officer’s responsibilities and priorities.
    • Exercises delegated authority to speak on behalf of the Chief Executive Officer regarding a variety of administrative matters.
    • Identifies and resolves problems that would not require Chief Executive Officer’s direct involvement.
    • May attend meetings in Chief Executive Officer’s absence to provide and/or obtain information.
    • Research, develop and draft letters, memos, or reports to for the Chief Executive Officer’s review.
    • Edits documents to incorporate information and ideas specific to the Chief Executive Officer’s and/or activities within the overall organizational unit or division.
    • Screens calls and visitors to determine appropriate course of action.
    • Any other duties as assigned. 

    Minimum Recruitment Standard

    • Bachelor's Degree, or its international equivalent or higher in administration, or other relevant field preferred;
    • Typically requires a minimum 5+ years of progressively responsible financial analysis and/or related experience in order to handle budgetary task.
    • Must have advanced knowledge of Microsoft Office Suite of products (Excel, Word, PowerPoint, and Access).
    • Non-Profit or health-related field experience preferred.
    • Articulate, professional and able to communicate in a clear, positive manner with clients and staff
    • Must have experience working with international development organization projects and staff;
    • Excellent oral and written communication skills in English; knowledge of Hausa and other local languages will be an advantage;

    Executive Assistant - Front Desk

    Job Description 

    • The Executive Assistant will be responsible for providing secretarial, clerical and administrative support in order to ensure that services are provided in an effective and efficient manner.

    Minimum Recruitment Standard

    IT Assistant

    Responsibilities

    • The IT Assistant will provide support to IT Officer who will provide support and maintenance to ECEWS computer and network infrastructure to ensure stable operations.
    • Support in implementing new IT solutions to improve business efficiency and productivity and will maintain/support implemented systems to ensure high end-user satisfaction.
    • Any other duties as assigned.

     Minimum Recruitment Standard

    • B.Sc / BA Degree in Engineering, Information Technology, Computer Science or its recognized equivalent with at least 3 years post National Youth Service relevant experience.
    • Or M.Sc / MA in Engineering, Information Technology, Computer Science or its recognized equivalent, and not less than 2 years post National Youth Service relevant experience.
    • Candidate must possess Microsoft Certified Systems Engineer (MCSE) and/or Cisco Certified Network Associate (CCNA) certifications.
    • Demonstrated success in multicultural environments is an advantage.
    • Experience with a multi-site network (at least 2 sites) with a minimum of 100 users is highly desirable.

    Program Assistant

    Responsibilities

    • Under the supervision and oversight from the Program Officer, the Program Assistant will perform functional assistance in relation to planning, design, implementation, monitoring, evaluation, and reporting of activities under the ACE Project.
    • She/He will provide support in strengthening systems of reporting on program activities, program strategies and work plan.

    Minimum Recruitment Standard

    • Or M.Sc / MA Degree in Public Health, Business Administration, Health Sciences, Behavioral Sciences, or its recognized equivalent with 1-2 years relevant experience with international development programs.
    • Demonstrated success in multicultural environments is an advantage.
    • Ability to work well with others, develop and maintain compatibility among recipients of assistance.
    • Excellent Interpersonal skills, cross cultural and collaborative.
    • Outstanding communication skills (Oral and Written).

    Procurement Assistant

    Responsibilities

    • Procurement Assistant under the supervision from the Procurement Officer, will assist in the planning and implementation of systems and policies that guide all operations related to procuring supplies and services (in accordance with ECEWS policy) in support of the HQ and state offices on the projects
    • Any other duties as assigned.

    Minimum Recruitment Standard

    • B.Sc / BA Degree in relevant field with 3 - 5 years of relevant procurement experience.
    • Or M.Sc / MA Degree in relevant field with 1 - 3 years relevant procurement experience.
    • Demonstrated success in multicultural environments is an advantage.
    • Familiarity with donor-funded procurement rules and regulations (experience with USAID procurement a plus).

    Administrative Assistant

    Job Responsibilities

    • Will support the Admin officer and departmental staff in the provision of administrative and logistical services.
    • S/He will assist in arranging travel logistics for staff, consultants and training participants including hotel reservations and where required, arranging airport and hotel pick-ups.
    • Handle all photocopying assignments, development and printing of documents and photographs including reproduction of recorded videotapes for the office.
    • Assist in the provision of logistic support for workshops and trainings, maintenance of an efficient records/storage of all office supplies and coordinate all administrative and secretarial support services for the CO (as relevant and serve as point of contact for logistical and administrative needs of the location.
    • S/He will also be responsible for ensuring all payment vouchers are stamped and signed, ensuring that correspondence, memos, and reports are properly filed, send out meeting invites for approved meetings, take minutes of meetings and circulate to meeting participants.
    • Tracking and reporting monthly/ weekly activity updates, following up with hotels for meeting venues and other activities, logistics for trainings and comfort of participants.
    • S/He will assist the admin officer with checking and reviewing generator logbooks filled by the security personnel, following up with Generator vendor for generator maintenance and diesel payment, supervise drivers and vehicle movements, review and sign project vehicle log, monitor and track vehicle fuel consumption and request for refill/payment when required with updated fuel consumption tracker.
    • Update asset records/inventory and monitor movement of office assets.
    • Any other duties as assigned.

    Minimum Recruitment Standard

    • University Degree, recognized equivalent or HND
    • Minimum of 2 years relevant experience
    • Familiarity with administrative and secretarial skills is an advantage
    • Familiarity with international NGOs is an advantage
    • Experience with large complex organization preferred.
