    Job Summary

    CHCS is seeking a highly efficient and detail-oriented Data Entry Clerk with fast typing speed and advanced Microsoft Excel skills to support program data operations.

    The ideal candidate will demonstrate:

    • Speed and accuracy in high-volume data entry
    • Strong Excel-based data management and reporting skills
    • Ability to work independently with minimal supervision
    • Commitment to data quality and accountability

    Key Performance Expectation

    • Process ≥ 200 documents into Excel Spreadsheets per day within an 8.5-hour workday
    • Maintain ≥ 98–100% data accuracy
    • Meet daily, weekly, and monthly reporting deadlines

    Key Responsibilities

    Data Entry & Management

    • Accurately enter and update data from multiple source documents
    • Maintain structured and well-organized Excel databases
    • Manage large datasets with consistency and integrity

    Data Cleaning & Validation

    • Identify and correct errors, duplicates, and inconsistencies
    • Perform routine reconciliation across datasets
    • Ensure data aligns with program reporting requirements

    Excel Reporting & Analysis

    • Develop and maintain Excel-based reporting templates
    • Generate daily, weekly, and monthly reports
    • Create dashboards, charts, and summaries for program tracking

    Data Quality Assurance

    • Conduct regular data quality checks
    • Flag discrepancies and escalate issues promptly
    • Ensure compliance with CHCS data management SOPs

    Program Support

    • Provide timely data to M&E and program teams
    • Support outreach tracking and performance monitoring
    • Assist in donor and internal reporting

    Required Qualifications

    Education

    • Diploma or Bachelor’s degree in:
      • Statistics
      • Computer Science
      • Information Management
      • Public Health
      • Business Administration
      • OR related field

    Experience

    • Minimum 3 years in:
      • Data Entry
      • Data Management
      • Reporting
    • Proven experience handling large Excel datasets
    • Experience supporting program monitoring, NGO, or health projects is an advantage

    Technical Skills (MANDATORY – WILL BE TESTED)

    Applicants must demonstrate expert-level Excel proficiency in:

    • Pivot Tables & Pivot Charts
    • Microsoft Excel advanced functions
    • VLOOKUP / XLOOKUP
    • INDEX & MATCH
    • Nested formulas
    • Conditional formatting
    • Data validation and filtering
    • Data cleaning and transformation
    • Building structured reporting templates
    • Must be able to build and manage complex spreadsheets independently

    Optional (Added Advantage)

    • Experience with:
      • Power BI
      • KoboToolBox
      • DHIS2
      • CommTB
    • Background in health programs, NGOs, or donor-funded projects
