Responsibilities
The job holder will be expected to direct to be performed by contractors, routine and scheduled maintenance both within and outside the school buildings. These maintenance and upkeep shall include but is not limited to:

• Identifying faults, hazards and initiating and performing repairs.
• Basic painting and redecoration.
• Ensuring the cleaning and evacuation of gutters and septic tanks
• Compound Maintenance – Paved Walkways, Swimming Pool, Landscaping, Car.

Park

• Rubbish Collection
• Generator Maintenance and Repairs
• Air conditioning checks and servicing
• All woodwork and shelving
• All office equipment including photocopiers, computers, printers, laptops and
• IT related equipment (e.g. routers, modems etc)
• All electrical appliances
• All plumbing checks

Health and safety management duties:

• Facility Coordinator will generally be involved in anything that breaches the health, safety, security, or usability of the facilities.
• Facility Coordinator will often have contingency plans regarding what needs to be done in the event that certain situations occur, such as equipment breaking down unexpectedly.
• Playground grounds and equipment should be inspected daily for health and safety hazards.
• Carefully check for trash, broken glass, and other hazardous items and debris.
• Check for vandalism or other signs of inappropriate use of the playground area.
• Maintain knowledge regarding methods of industrial cleaning, safety practices and procedures, and health standards and hazards.

Project management duties:

• Coordinate appropriate facilities set-up and technical equipment for a variety of activities either for the school or for outside use as required.
• Track and communicate status of project and ensure timely feedback and accountability.
• Project future requirements regarding the school.
• Facility Coordinator must also work closely with the Head of Administration to determine the best upgrade paths for equipment and infrastructure.

Budget/ Operational cost management Duties:

• As appropriate, solicit and analyze proposals from contractors to perform various repairs and special maintenance.
• Estimate the time and materials costs of proposed projects for the purpose of informing budgeting, planning and accountability of actual project costs
• Maintain manual and electronic documents, files and records (inspection records, time sheet, work orders and requisitions, supplies, chemical storage, crisis management data, security control).

Requirements

• The ideal candidate should have a Bachelor's Degree, up to 3 years’ experience and be digitally savvy.

Responsibilities
Administrative and Office Duties:

• Perform administrative activities of the school to support the Head of Learning/Schools
• Answer telephones and treats matters arising (escalates where needed)
• Assist and support the Head of School in preparing and collating reports
• Assist academic staff in preparing instructional materials as guided by the Head of Learning/Schools
• Sort and distribute mail delivered to the academic office
• Draft and type official documents
• Assist in designing and drawing up informational material
• Attend Office Meetings and strategizes.
• Review and align reports and documents to principal record source (Dropbox/Google docs)
• Follow up and compile reports due to the Head of schools, accurately and efficiently
• Writing letters in line with the Directive of the office.
• Scheduling of appointments
• Organize and service meetings (producing agendas and taking minutes)
• File letters and reports
• Source related international and local applicable academic activities for the school.

Communication & Relations:

• Support with parents/academic enquiries
• Relate and communicate with Academic staff
• Send to and receive announcements and information to Academic staff as required.

Admission Enquiries:

• Responsible for the fulfillment of the TLP Eight Steps for Admission.
• Conduct school tours and set up pre-admission play date
• Conduct play dates for admission.
• Attend and follow up with admission enquiries
• Arrange playdate and compile playdate feedback
• Notify Accounting department of Invoicing required.
• Confirm placement availability and assist with class placement.

Enrichment Activities:

• Seek appropriate external school activities for the development of the students
• Liaises with external instructors regarding school activities both international and local
• Organize and plan school enrichment activities.
• Manage Specials and other After-school Activities for TLP
• Plans school trips locally and internationally.

Academic office liaison and support:

• Maintain academic program school policies, individual organization programs
• Daily Class observation
• Ensure all academic documents are properly filed and archived in line with school process
• Support with student reports to be sent home
• Act as liaison between academic office and the academic team
• Ensure the welfare of the students is guaranteed and act as a role model
• Ensure good level of communication is maintained between all classes and parents
• Participate in monitoring the classroom operation processes and gives report.
• Monitors and maintains the Special Educational Needs services.

Ambassadorial Duties:

• Acts as an ambassador for the TLP and positively represents the school at all times.
• Promotes professionalism and embodies the values of the school.
• Source and promote activities to boost the growth and progress of TLP.
