    Warranty Officer

    Job Description

    • An experienced person who would manage, coordinate, and oversee all warranty-related activities for power generation equipment and components.
    • This includes validating claims, coordinating repairs or replacements, maintaining accurate records, ensuring compliance with manufacturer policies, and providing technical and administrative support to customers and internal teams.

    Responsibilities
    Warranty Claims Management:

    • Receive, review, and process warranty claims from service engineers, customers, or dealers.
    • Verify claim eligibility based on warranty terms, product serial numbers, and service history.
    • Approve or reject claims in accordance with company policy and OEM guidelines.
    • Ensure claims are submitted to OEMs or suppliers accurately and within deadlines.

    Technical Support & Coordination:

    • Liaise with technical teams to assess equipment failures and root causes.
    • Coordinate with engineering and service departments for repair or replacement decisions.
    • Assist in troubleshooting and provide feedback to improve product reliability.

    Documentation & Reporting:

    • Maintain a comprehensive database of warranty claims, service reports, and parts replaced.
    • Generate periodic warranty performance reports, including cost analysis and claim trends.
    • Ensure proper documentation of all communication and parts movements related to warranty claims.

    Vendor & OEM Relationship Management:

    • Communicate with equipment manufacturers and suppliers regarding warranty issues and parts reimbursements.
    • Follow up with vendors for claim approval, replacement parts, or credit notes.
    • Support negotiations and settlements of disputed claims.

    Customer Service:

    • Act as the primary contact for warranty-related customer inquiries.
    • Provide prompt feedback and updates to customers on claim status.
    • Ensure customer satisfaction through timely resolution of warranty cases.

    Inventory & Cost Control:

    • Monitor warranty parts inventory and coordinate return of defective components.
    • Track and reconcile warranty-related costs and recoveries.
    • Support finance in processing credit notes and warranty reimbursements.

    Requirements

    • Bachelor’s Degree, HND in Mechanical, Electrical, or Industrial Engineering (or related field).
    • 3 – 5 years of experience in warranty administration, preferably in power generationsector.
    • Strong understanding of generators, engines, and control systems.
    • Proficiency in ERP or warranty management systems (e.g., SAP, Oracle).
    • Excellent communication, analytical, and documentation skills.
    • Attention to detail and ability to handle multiple claims simultaneously.
