Job Summary
The Studio Coordinator is responsible for ensuring the smooth day-to-day operations of the architectural studio. This role serves as the operational backbone of the studio, coordinating projects, managing administrative processes, supporting architects, and ensuring that workflows are efficient, structured, and aligned with company standards.
The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced, creative environment.
Key Responsibilities
Studio & Operational Coordination
- Coordinate daily studio activities to ensure seamless workflow
- Track project timelines, deliverables, and deadlines
- Ensure proper documentation and filing of all project-related materials
- Maintain studio schedules, meetings, and internal coordination
Project Support
- Support architects and project teams with administrative and coordination tasks
- Monitor progress of ongoing projects and escalate delays where necessary
- Assist in preparing project reports, presentations, and documentation
- Liaise with site teams, consultants, and vendors where required
Administrative Management
- Manage correspondence, emails, and internal communication
- Maintain office systems, records, and documentation
- Oversee procurement of studio supplies and resources
- Ensure proper record-keeping of contracts, drawings, and approvals
Client & Stakeholder Coordination
- Serve as a point of contact for clients and external stakeholders
- Schedule meetings and follow up on action points
- Ensure professional communication and client experience
Process & Systems Improvement
- Implement and maintain structured workflows within the studio
- Support the development of standard operating procedures (SOPs)
- Identify inefficiencies and recommend improvements
Requirements & Qualifications
- Bachelor’s Degree in Architecture.
- 7 years experience in a similar coordination or administrative role (preferably in architecture/construction)
- Strong organizational and multitasking skills
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Ability to work in a structured, fast-paced environment
