    Project Coordinator - Digital/Data

    The Global Alliance for Improved Nutrition (GAIN) is seeking a Project Coordinator - Digital/Data Projects in Fortification to support the day-to-day operations, implementation and monitoring of the Large-Scale Food Fortification (LSFF) project. This role will be on a 12 months’ fixed-term contract basis, subject to availability of funding. This position is open to GAIN’s country offices in London, Utrecht and Abuja.

    Reporting to the Project Manager, the Project Coordinator will support the Large-Scale Food Fortification (LSFF) initiative at GAIN, specifically on two projects focused on Digital Tools and Data Collection: 1) The Digital Fortification Quality Traceability + System (DFQT+) Project and 2) The Global Fortification Data Exchange (GFDx) Project.

    You will be responsible for the day-to-day operational delivery, implementation, and monitoring of the project, specifically focusing on tracking the progress and status of project activities. You will play a coordination role in GAIN cross-functional project teams and supporting the maintenance of relationships with partners and stakeholders.

    The postholder will also be responsible for liaising with stakeholders within their assigned project components and ensuring that project outputs and activities are successfully implemented within approved plans, budget, timeline, and quality standards.

    Key Responsibilities include

    • Identifying, escalating, tracking and resolving project issues on an ongoing basis, and proactively reporting to the Project Manager issues which require wider attention and resolution
    • Helping the project manager to monitor risks and developing contingency plans in responding to emergencies. Making assessment and reviewing the status of projects and providing recommendations to the project manager on approaches and procedures for project implementation
    • Managing project schedule, activity plan and planning milestones, supporting the tracking of progress and deliverables from project partners and implementing countries
    • Drafting necessary project documentations during the design, planning and end-to-end implementation of the project as per the GAIN Project Management Guidelines (PMG) i.e. results framework, work plans etc. Conducting assessments and taking part in proposal development
    • Scheduling and facilitating abovementioned project meetings (for DFQT+, part of an agile methodology: scrum daily’s, sprint planning, sprint review, sprint retrospective) and other meetings as needed, takes notes, circulates notes, and follows up on next steps which consortium team
    • Supporting in research publications, policy briefs, white papers and other communication and knowledge products
    • Contributing to building strong partnerships with civil society, INGOs, government entities, private sector and other organisations.
    • Developing appropriate narrative reporting and financial accounting documentation for the Project Manager’s review in order to meet GAIN and donor’s requirements
    • Facilitating accurate project budgeting and forecasting processes, ensuring that activities costs are kept within budgets.
    • Developing Terms of Reference for project consultants/suppliers hired on a short-term basis and ensure proper delivery of technical services and submission of technical and other report within ethical and procurement standards and guidelines.
    • Ensuring timely monthly project reporting on program progress achieved, program plans, changes in direction and challenges encountered

    About You

    • The ideal candidate will have proven experience in project management. You will have previous experience with business and project administration systems, including financial administration and in delivering projects on time / on budget, using project management processes and tools including risk management, benefits management, financial management and quality assurance. Candidates with experience working in Africa or South Asia is desirable.
    • The ideal candidate will posess good communication skills and fluent in written and spoken English, candidates with knowledge of second language within GAIN’s regional offices will be an additional advantage.
    • A Degree or recognized international accreditation in a project management and/or bachelor’s degree in business management, international relations, sustainable development, economics, development studies, peace and conflict studies or related field. You will have experience in agile/scrum methodologies, preferably as certified scrum master.
    • You will be computer literate in Microsoft Office, advance knowledge of spreadsheet and database packages and experience in handling of web-based management systems, such as Jira software platform and Miro boards.
