    Personal Assistant

    Job Summary:

    The Personal Assistant to the CEO is a crucial role requiring a highly organized and proactive individual with exceptional communication skills and a proven ability to manage diverse tasks with discretion and confidentiality. This hybrid position provides comprehensive administrative and personal support to the CEO, enabling them to focus on strategic initiatives and personal commitments. The work will include activities from multiple businesses in which the CEO is engaged ranging from the education industry, renewable energy sector amongst others. 
    However, the role will be a full time contract role assigned to Masha Music Academy.

    Key Responsibilities:

    Administrative Support:

    • Managing the CEO's calendar and scheduling meetings, prioritizing effectively and proactively identifying optimal times.
    • Acting as a primary point of contact for the CEO, managing incoming communications (email, phone) and filtering requests.
    • Handling requests and queries appropriately and efficiently.
    • Preparing and editing correspondence, reports, and presentations.
    • Managing and tracking expenses, including an allocated budget.
    • Coordinating travel arrangements
    • Managing company-related vendor relationships as directed.
    • Sourcing and managing equipment, software and supplies for the CEO's needs.
    • Devising and maintaining an efficient filing system for the CEO's documents and records.
    • Taking notes and generating meeting minutes during meetings as required.

    Communication & Liaison:

    • Maintaining consistent communication with the CEO and other stakeholders.
    • Acting as a liaison between the CEO and internal/external parties.
    • Ensuring clear and timely communication on all matters.
    • Producing reports, presentations, and briefs as requested by the CEO.

    Personal Support:

    • Managing personal errands, including shopping and other personal tasks.
    • Coordinating household staff schedules and logistics.
    • Managing children's schedules and related activities.
    • Handling personal correspondence and communications.
    • Organizing and managing personal appointments and events.
    • Making personal travel arrangements.

    Qualifications and Experience

    • HND or Bachelor's degree preferred. 
    • 1-2 years of post-NYSC experience is desirable but not mandatory. Exceptional candidates with less experience will be considered. 
    • Demonstrated proficiency in Microsoft Office Suite and Google Workspace. 
    • Excellent written and verbal communication skills. 
    • Strong organizational, time-management, and problem-solving skills. 
    • Ability to work independently and proactively, demonstrating self-accountability.
    • High level of discretion and confidentiality.
