    Operations Manager

    Key Responsibilities

    Workflow & Task Management

    • Track all active matters across the firm
    • Monitor deadlines and ensure timely completion of tasks
    • Follow up with lawyers on outstanding work
    • Ensure no matter is delayed due to internal inefficiencies

    Coordination of Legal Work

    • Allocate and monitor tasks in collaboration with the Practice Lead
    • Ensure proper communication between team members
    • Maintain visibility on the status of all files

     Billing & Collections Support

    • Track invoices issued to clients
    • Follow up on outstanding payments
    • Maintain records of billing and collections
    • Support the firm in improving cash flow discipline

    Internal Reporting

    • Prepare weekly operational reports including:
    •  status of ongoing matters
    •  pending tasks
    •  deadlines and risks
    • Provide clear updates to the Managing Partner

    Administrative & Office Management

    • Coordinate meetings and schedules
    • Ensure efficient use of firm resources
    • Handle basic HR coordination (leave tracking, attendance, etc.)
    • Maintain organized records and documentation systems

    Process Improvement

    • Identify inefficiencies in workflow
    • Propose and implement improvements
    • Support the development of systems and standard processes
    • Key Performance Indicators (KPIs)
    • ≥ 90% of tasks completed on time
    • Zero critical missed deadlines
    • 100% visibility on all ongoing matters
    • Timely weekly reporting
    • Consistent follow-up on billing and collections

    Requirements

    • Minimum of 4-6 years experiences in operations, administration, or practice management
    • Experience in a law firm or professional services environment is an advantage
    • Strong organizational and time management skills
    • Ability to manage multiple tasks and enforce deadlines
    • High level of attention to detail
    • Strong communication and follow-up skills
    • Proficiency in Microsoft Office tools (Excel, Word, Outlook)
