    Inventory & Logistics Officer

    Reports to: Head, POS & Hardware Channels 
    Works closely with: Hardware Operations Officer, After-sales & Repair Lead, Terminal Performance Analyst, Regional Managers/State Coordinators, Finance and Internal Audit. 

    Role Summary

    • The Inventory & Logistics Officer is responsible for managing Kolomoni’s POS device inventory and logistics operations ensuring terminals and accessories are received, recorded, stored, dispatched, tracked, and reconciled accurately.
    • The role supports smooth deployments by guaranteeing the right devices are available, delivered on time, and fully traceable from warehouse to merchant/agent and back (returns/RMA/retrievals). 

    Key Outcomes

    • Accurate stock records (serial-level tracking) with minimal variance.  
    • Fast, reliable dispatch and delivery to regions/states supporting deployments.  
    • Strong custody controls: every device movement is documented and authorized.  
    • Efficient returns handling: retrievals, faulty terminals, and RMA flows are processed quickly.  
    • Clean reporting: inventory position, movements, aging stock, and exceptions are visible weekly.  

    Core Responsibilities

    Inventory Management (Warehouse Control):

    • Receive terminals/accessories from vendors and verify quantities, serial numbers, and condition.  
    • Maintain an accurate inventory register (serial numbers, device status, location, custodian).  
    • Store devices securely and organize stock by category: new, active-ready, faulty, repaired, retrieved, RMA, accessories.  
    • Perform routine cycle counts and support monthly/quarterly stock audits.  

    Dispatch & Logistics Coordination:

    • Process authorized device requests and prepare terminals for dispatch to regions/states.  
    • Coordinate deliveries with logistics partners/couriers and track shipments to confirmation.  
    • Maintain dispatch documentation: waybills, allocation forms, custody handover, and proof of delivery.  
    • Ensure terminals are packaged, labelled, and dispatched with required accessories (chargers, paper rolls, SIMs where applicable).  

    Returns, Retrievals & RMA Flow:

    • Receive returned/retrieved/faulty terminals and update inventory status immediately.  
    • Route devices to the correct flow: redeploy-ready, diagnostics/repairs, warranty/RMA, or decommission.  
    • Track RMA batches sent to vendors and reconciled returned/replaced devices.  
    • Maintain “aging” reports for pending returns, unresolved RMAs, and stuck devices.  

    Controls, Documentation & Compliance:

    • Enforce maker-checker controls for key actions (dispatch approvals, stock adjustments, write-offs).  
    • Maintain clean audit trails for all device movements and exceptions.  
    • Flag risks early: missing devices, repeated losses, unusual movements, stock variances, or delays.  

    Reporting & Continuous Improvement:

    • Provide weekly reports:  
      • Stock on hand (by type/status)  
      • Devices dispatched and received  
      • Inventory variance and exceptions  
      • RMA pipeline status and aging  
      • Identify gaps and improve SOPs for stock handling, dispatch turnaround, and record accuracy.  

    Key KPIs

    • Inventory accuracy % (system vs physical stock)  
    • Dispatch turnaround time (request approved → shipped)  
    • Delivery success rate (on-time and confirmed deliveries)  
    • Returns processing time (received → updated → routed)  
    • RMA turnaround time and aging backlog  
    • Stock variance / shrinkage rate  
    • Documentation completeness (POD, custody forms, serial tracking)  

    Requirements

    • 2–5+ years' experience in inventory, warehouse operations, logistics, or supply chain (preferably devices/tech/fintech).  
    • Strong attention to detail and comfort working with serial-number level tracking.  
    • Basic proficiency with spreadsheets and inventory logs/tools.  
    • High integrity and disciplined approach to controls and recordkeeping.  
    • Ability to coordinate with logistics partners and multiple internal teams.  

    Preferred:

    • Experience managing POS devices, mobile devices, or electronics inventory in Nigeria.  
    • Exposure to RMA/warranty processes and vendor returns management.  
    • Familiarity with basic procurement documentation and stock audit support.  

    Working Conditions:

    • Warehouse-based role with periodic peak activity during deployments/rollouts.  
    • May require occasional travel for regional stock audits or hub setup.
