Indirect Procurement Assistant Manager at Grand Oak Limited

Purpose

• Develop and execute procurement strategies to effectively source indirect OPEX HR & Admin, IT items, consumables, and promotional materials.
• Implement procurement strategies to effectively source materials for marketing and sales team.
• Carry out market surveys and expedite deliveries to meet all requirements based on established specifications.

Key Results Areas

Procurement Management:

• Source and negotiate with suppliers for the procurement of indirect services related to HR Admin, Facilities and Asset Management, MIS, and Marketing & Sales.
• Ensure compliance with procurement policies and procedures while maximizing cost savings.

Supplier Relationship Management:

• Develop and maintain strong relationships with key suppliers and service providers.
• Monitor supplier performance to ensure the delivery of quality services within agreed timelines and budgets.

Cost Control and Cost Savings:

• Keep track of brand Assets with Marketing Agencies and ensure duplicate costing are avoided to save cost on brand activities.
• Keep track of cost savings from every purchase order and service order transactions

Contract Management:

• Negotiate, drafting, and execution of contracts for indirect procurement categories such as Annual Maintenance Contracts and Service Level Agreements.
• Ensure that contracts are in compliance with legal and regulatory standards and reflect the best terms for the company such as payment terms and delivery terms.

Stakeholder Collaboration:

• Collaborate with key internal stakeholders (HR, Facilities & Assets, MIS, Marketing, Sales etc.) to understand
• procurement needs and ensure timely and cost-effective delivery.
• Provide regular updates to the Indirect Procurement Manager on procurement activities and progress.

Compliance and Reporting:

• Ensure adherence to legal, environmental, and ethical procurement standards.
• Maintain accurate records and provide procurement reports as required.

Principal Accountabilities

• Coordinate the procurement of indirect services related to HR Admin, Facilities, MIS, Marketing & Sales. Develop and execute sourcing strategies for each indirect procurement category. Maintain effective relationships with vendors and manage contract renewals. Conduct market research to identify new suppliers and alternatives to optimize value. Track and manage procurement budgets, ensuring spending remains within allocated limits. Work closely with internal stakeholders to ensure that procurement requirements are accurately understood and fulfilled. Execute purchase of promotional materials, advertisements, and branding services, ensuring quality, timely delivery, and cost-effectiveness. Prepare and present procurement performance reports to the Indirect Procurement Manager.

Framework

• The role operates within the framework of Nigeria Distilleries Limited’s broader procurement framework.
• Focus is on meeting the overall objectives of the Supply Chain Department to optimize operational efficiency, reduce costs, and enhance service delivery.
• The role is free to carry out market surveys and liaise with stakeholders to align on requirements.

Boundaries

• All procurement transactions must be approved by the Indirect Procurement Manager
• All CAPEX transactions should be directed to the Indirect Procurement Manager

JOB REQUIREMENTS

EDUCATION

• Minimum requirement: First degree/ HND certificate from a recognized higher institution with a grade not less than a Second Class lower or a Lower Credit.

EXPERIENCE

• Minimum requirement: Minimum of 5-6years’ cognate experience in a fast-paced manufacturing outfit.
• Added Advantage: Indirect Procurement function for Marketing Category; CIPS Diploma
