    Finance Assistant

    REPORTING LINE: 

    Reports to the Finance Manager

    JOB SUMMARY

    The Finance Assistant is to assist the Finance Manager in managing the day-to-day operations of the Finance Department. S/he will be responsible for the day-to-day bank liaison as well as cash processing and record keeping of transactions in line with the NHED Financial policies and procedures. His or her specific responsibilities are to: 

    JOB RESPONSIBILITIES

    • To assist the  Finance Manager in ensuring that timely and accurate payments are made.
    • Ensure accuracy and completeness of supporting documents in all respects which includes authenticity of signatures, and cross-checking supporting documents before payments are processed for payment to suppliers and consultants.
    • Post all transactions into the NHED accounting system on a daily basis for review by the Finance Manager. Ensure that all information in the system is correct and complete.
    • Process petty cash transactions on a daily basis and ensure that petty cash is replenished on time to meet daily cash needs. Carry out cash count in line with NHED/NPHD policy and schedule. Document the cash count sheets for records.
    • Prepare all payments and make sure that they are properly coded and supported with relevant documents and that expenditures are within budgetary allocation and that all necessary taxes e.g. withholding tax (WHT) are deducted and remitted to appropriate tax authorities on time.
    • Ensure efficient use of NHED/NPHD resources and are in compliance with organizational, Nigerian and donor financial regulations and procedures.
    • Assist in the preparation of monthly reports on NHED/NPHD financial activities and the financial performance of the two organisations 
    • Assist in the preparation, review and monitoring of programme financial plans such as annual, quarterly and monthly budgets, cash flow forecasts and other activities related to the efficient management of the financial resources of the project.
    • Support in payroll preparation and ensure that all tax, pension other deductions are made and remitted to appropriate agencies on time.
    • Assist the Finance Manager in monthly bank statement reconciliation on all bank accounts.
    • Ensure all the financial documents are properly filed & tagged.
    • ‘Paid’ stamping of all the invoices and related documents before filing.
    • Visit Bank for necessary collection & submission of financial documents.
    • Perform any other task assign by the line manager.

    REQUIRED SKILLS AND QUALIFICATIONS

    • Minimum of 2 years relevant work experience with an NGO or similar organisations.
    • Good knowledge of accounting and bookkeeping procedures
    • Good MS Excel skills (creating spreadsheets and using financial functions) 
    • Familiarity with accounting software (e.g. QuickBooks)
    • Organizational and time-management skills
    • Attention to detail, with an ability to spot numerical errors
    • OND or B. Sc in Accounting, Business Admin, Management or related Field.
