    Executive Assistant

    Provides executive administrative and secretarial support in an efficient manner. Responds to emails in a timely manner. Prioritizes and manages the emails of the managing partner by sorting and directing accordingly. Manages schedules, prioritizes meetings, appointments, and events and sends out timely reminders. Ensures visitors of the managing partner are well attended to.

    ESSENTIAL JOB FUNCTIONS

    • Provides executive administrative and secretarial support to the managing partner.
    • Reviews the emails and prioritizes responses by bringing them to the attention of the managing partner and responding as directed.
    • Develops and maintains an electronic filing system for the managing partner.
    • Manages calendar and prepares a weekly and daily overview of the managing partner’s schedule by keeping track of the daily schedule and sending timely reminders.
    • Screens and directs confidential calls and handles first-hand interactions as instructed.
    • Schedules appointments, visits and maintains an event calendar.
    • Keeps the managing partner updated on important events, appointments, and meetings by providing relevant information with timely reminders.
    • Attends meetings, records, and takes notes when and where required.
    • Relays ahead of time unforeseen delays with scheduled meetings to affected parties.
    • Provides administrative support to managing partner at business meetings.
    • Handles confidential documents requiring the managing partner’s approval.
    • Organizes, files, retrieves, and maintains all documents and creates a proper filing system.
    • Prepares materials, internal memorandums, and other documents as required by the managing partner.
    • Receives visitors and guests and prepares refreshments where required.
    • Makes travel and accommodation arrangements and creates a travel agenda.
    • Manages and reconciles daily, weekly, and monthly expense reports and escalates shortages for immediate resolution.
    • Procures office stationaries and supplies for the managing partner’s office.
    • Acts as a liaison between the managing partner, staff, and clients.
    • Oversees management of the social media pages of the managing partner.
    • Performs other functions as assigned.

    EDUCATION QUALIFICATIONS:

    • Bachelor’s degree or HND in any field from an accredited and reputable institution.

    TECHNICAL REQUIREMENTS:

    • Proficient in the use of Microsoft office tools.
    • Technology savvy.

    KNOWLEDGE REQUIREMENTS:

    • Good understanding of the use of scheduling applications.
    • Good understanding of client management.

    • 1-3 years of experience as an executive assistant or in a similar role
