BridgeHedge Limited is hiring on behalf of a reputable institute in the courier, logistics, transport, and management sector for the position of Executive Assistant.
We are looking for a highly organised, intelligent, proactive, and results-driven individual who can provide strong executive support, coordinate multiple activities, support project execution, and contribute to business growth through excellent communication, sales, marketing, and writing skills.
This is a dynamic role for someone who can work closely with management, manage responsibilities across different departments, follow up on tasks, and ensure smooth day-to-day operations.
Key Responsibilities
Executive Support & Administration
- Provide high-level administrative and executive support to management.
- Manage schedules, meetings, calendars, appointments, reminders, and follow-ups.
- Prepare meeting agendas, take minutes, track action points, and ensure tasks are completed.
- Draft professional emails, letters, memos, reports, proposals, and presentations.
- Maintain proper filing, documentation, and records for management and the institute.
- Handle confidential information with professionalism and discretion.
- Represent management professionally in communication with staff, members, partners, clients, and external stakeholders.
Project Management & Multi-Coordination
- Support the planning, coordination, execution, and monitoring of projects, trainings, programmes, events, and institutional activities.
- Track timelines, deliverables, responsibilities, and deadlines across different units.
- Coordinate between management, staff, consultants, vendors, facilitators, members, and partners.
- Ensure assigned projects are properly followed through from start to completion.
- Prepare progress updates, reports, and task trackers for management.
- Identify delays, gaps, or issues early and escalate appropriately.
Sales, Marketing & Business Development Support
- Support membership growth, programme enrolment, training registrations, sponsorships, partnerships, and institutional outreach.
- Assist with client/member follow-ups, lead generation, and relationship management.
- Support marketing campaigns, promotional materials, event publicity, and social media coordination.
- Help prepare proposals, partnership letters, sponsorship documents, and marketing communication.
- Maintain databases for prospects, members, partners, sponsors, and stakeholders.
- Conduct basic market research and competitor analysis within the logistics, courier, transport, education, and professional development sectors.
Writing, Communication & Documentation
- Draft clear, professional, and persuasive content for emails, reports, proposals, captions, speeches, letters, newsletters, and official communication.
- Proofread documents and ensure accuracy, clarity, tone, and professionalism before submission.
- Prepare executive briefs, meeting summaries, programme reports, and communication materials.
- Communicate instructions, updates, and feedback clearly across teams and stakeholders.
- Ensure all written materials reflect the professionalism and credibility of the institute.
Operations & Institutional Support
- Assist in coordinating trainings, seminars, conferences, investitures, meetings, and other institutional programmes.
- Support registration, attendance tracking, participant communication, and event logistics.
- Follow up with members, students, facilitators, partners, sponsors, and vendors where necessary.
- Support internal operations across administration, marketing, membership, training, events, and project coordination.
- Ensure tasks are executed promptly and nothing important is left unattended.
Requirements
The ideal candidate should have:
- A Bachelor’s Degree or equivalent qualification in Business Administration, Management, Mass Communication, Marketing, Logistics, Transport Management, or any related field.
- Previous experience as an Executive Assistant, Administrative Officer, Project Coordinator, Business Development Assistant, Programme Officer, or similar role.
- Strong project management and coordination skills.
- Excellent writing, proofreading, and professional communication skills.
- Good understanding of sales, marketing, business development, and client/member relationship management.
- Ability to multitask, organise work effectively, and manage several responsibilities at once.
- Strong follow-up skills and ability to meet deadlines.
- Good knowledge of Microsoft Office, Google Workspace, and basic digital tools.
- High level of professionalism, confidentiality, emotional intelligence, and attention to detail.
- Ability to work independently with minimal supervision.
- Interest or experience in courier, logistics, transport, education, professional training, or institute-based work will be an added advantage.
- Proximity to Ogudu, Lagos, will be an added advantage.
