    Executive Assistant

    Job Objective:

    • The Executive Assistant to the Managing Director will act as a strategic partner to the MD, providing high-level executive support in a fast-paced publishing and printing environment. This role requires exceptional organizational, communication, and leadership skills to manage complex projects, facilitate decision-making, and drive operational efficiency across the organization.

    Job Duties & Responsibilities:

    • Serve as the primary point of contact for the Managing Director, managing internal and external communications with discretion and professionalism.
    • Oversee the Managing Director’s calendar, ensuring alignment with strategic priorities, meetings, and industry events.
    • Prepare, review, and coordinate executive-level reports, presentations, and board materials.
    • Facilitate cross-departmental coordination to drive initiatives, publishing schedules, and key projects.
    • Support strategic planning by conducting research, preparing briefings, and tracking key performance indicators.
    • Organize board meetings, executive retreats, and client or stakeholder engagements, including agenda preparation, documentation, and follow-up on action items.
    • Manage confidential information, contracts, and sensitive company matters with utmost discretion.
    • Handle high-level travel arrangements, itineraries, and logistics for domestic and international engagements.
    • Lead or support special projects, process improvements, and initiatives that enhance executive office efficiency.
    • Anticipate executive needs and proactively solve problems before they arise.

     

    Qualifications and Skills:

    • Bachelor’s degree in Business Administration, Management, Communications, or related field; MBA or professional certification is an advantage.
    • 5–7 years’ experience supporting C-suite executives. Experience in publishing, printing, or related industries is an added advantage.
    • Exceptional written and verbal communication skills; ability to engage confidently with senior stakeholders.
    • Strong strategic thinking, project management, and organizational abilities.
    • High proficiency in Microsoft Office Suite, collaboration, and project management tools.
    • Ability to maintain confidentiality and exercise judgment in high-stakes situations.
    • Knowledge of publishing, printing, or creative production workflows is preferred.
    • Strong interpersonal skills and emotional intelligence to navigate executive-level relationships.
    • Detail-oriented, professional, and highly ethical.
