    Associate, IT/Admin

    Purpose of the Position 

    • The Emergency Operations Centers (EOCs) operated by eHealth Africa are a critical unit dedicated to managing and coordinating responses to emergencies effectively. The EOCs plays a pivotal role in ensuring organizational readiness and resilience, aligning its objectives with the broader mission of safeguarding lives, assets, and continuity of operations. By delivering seamless administrative and technical services, this unit supports the timely execution of emergency strategies and ensures that all stakeholders remain informed and engaged.
    • The Associate will provide administrative and technical support within the Emergency Operations Center (EOC) while ensuring operations align with the mission and strategic goals of eHealth Africa. This role focuses on maintaining efficient office operations, facilitating communication, and supporting collaborative efforts.

    What you’ll do  

    • To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned:
    • Organize and coordinate meetings, conferences, and events to ensure flawless execution, including managing schedules, guest lists, refreshments and logistics.
    • Creates, edits, and disseminates documents such as correspondence, reports, drafts, and emails while adhering to high standards of professionalism and accuracy.
    • Assist in assigning daily tasks and overseeing the maintenance of electronic and physical copy filing systems, and modifying documents including correspondence, reports, drafts, and emails.
    • Demonstrate a thorough understanding of the basics behind the Internet and its workings (DNS, Security, IP Routing, diagnosis and solves computer software and hardware faults.
    • Facilitate seamless communication and collaboration by acting as a primary point of contact for internal and external stakeholders.
    • Fostering professional relationships, and ensuring responsive and effective interactions.
    • Ensuring excellence by meeting deadlines, prioritizing tasks effectively, and demonstrating professionalism in all outputs.
    • Troubleshoot malfunctions of network hardware and software applications, telephones and security systems to resolve operational issues and restore services.

    Who you are:

    • Task Coordination: Identify and address discrepancies in administrative processes or records, ensuring smooth execution of office responsibilities.
    • Data Management: Efficiently handle and organize administrative data, maintaining proper documentation and alignment with organizational frameworks.
    • Issue Reporting: Actively monitor and report any irregularities in administrative workflows to supervisors, supporting effective resolution.
    • Stakeholder Support: Deliver accurate information and assistance to stakeholders, ensuring a seamless administrative experience.
    • Deadline Management: Collaborate with the team to ensure timely completion of tasks and adherence to organizational schedules.
    • Standards Compliance: Integrate data from multiple sources to execute administrative duties with a high level of accuracy, meeting organizational standards and expectations.
    • Tech Savvy: Adapts quickly to digital tools and platforms, leveraging technology to enhance efficiency and resolve basic technical issues effectively.

    Qualifications and Experience

    • Bachelor’s degree from a recognized academic institution in Business Administration, Computer Science, Management or any related field.
    • One to two (1-2) years of Technical administrative support experience preferably in an International NGO or an equivalent combination of education and experience.
    • Demonstrates strong ability to navigate and utilize specialized administrative software relevant to program operations including expertise in Google Workspace (Docs, Sheets, Slides, Drive, etc.).
    • Proficiency in English is required for both verbal and written communication. Fluency in Hausa language is an additional advantage.
