    Administrative Assistant

    Summary

    • We are seeking a proactive and detail-oriented Administrative Assistant to support our operations.
    • This role involves prospecting potential clients, maintaining CRM records, coordinating communication, and handling day-to-day administrative duties that ensure the smooth functioning of our operations.
    • The ideal candidate is organized, tech-savvy, and capable of juggling multiple tasks efficiently while maintaining a professional and client-focused mindset.

    Key Responsibilities

    • Provide general administrative and clerical support, including mailing, scanning, meeting minute, filing (Physical & Digital) of documents etc.
    • Manage calendars, schedule meetings, and coordinate appointments.
    • Maintain office supplies and inventory; place orders when necessary and liaise with vendors, service providers etc.
    • Handle confidential and sensitive information with discretion.
    • Conduct market research to identify potential clients and new business opportunities
    • Research accounts and decision-makers to personalize communication
    • Assist in lead generation efforts via calls, emails, LinkedIn, and CRM tools
    • Prepare sales documents such as proposals, quotes, pitch decks, and follow-up emails
    • Update and maintain data in the CRM system (e.g., Zoho CRM)
    • Follow up with prospects
    • Report weekly progress to Management
    • Any other assigned task from Management

    Requirements

    • Bachelor’s degree in Business Administration, Marketing, or a related field
    • 3 years of experience in a sales support, admin, or marketing, customer service etc.
    • Proficiency with MS Office (Word, Excel, PowerPoint) and CRM systems (Zoho, etc.)
    • Excellent written and verbal communication skills
    • Strong organizational and time management abilities
    • Attention to detail and ability to multitask under minimal supervision
    • A proactive, collaborative, and service-oriented mindset
