Reporting to the Director of Administration, the Administrative Assistant will provide clerical and organizational support to ensure smooth office operations. The role will involve managing correspondence, scheduling meetings, maintaining records, handling office supplies, and assisting staff and administration with day-to-day administrative tasks. The Administrative Assistant serves as the first point of contact for inquiries and helps ensure efficiency and professionalism in the workplace.
Responsibilities
Handle incoming and outgoing correspondence (emails, letters, phone calls).
Schedule and coordinate meetings, appointments, and travel arrangements.
Maintain accurate records, files, and databases.
Prepare reports, presentations, and other office documents.
Manage office supplies, stationery, and equipment, ensuring availability.
Assist in organizing office events, trainings, and meetings.
Provide general clerical support such as photocopying, scanning, and filing.
Serve as the first point of contact for visitors and clients.
Ensure compliance with office procedures and policies.
Perform any other administrative tasks as assigned.
Qualifications
Bachelor’s Degree or Higher National diploma in Business Administration, Office Technology, Secretariat Studies, or a related field.
Minimum of 1–3 years’ experience in an administrative or clerical role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational and multitasking skills.
Excellent written and verbal communication skills.
High attention to detail and professionalism.
Ability to work independently and as part of a team.
Ability to use canvas or any other graphic design app to design for the organization.
National Youth Service or Exemption Certificate.
Full understanding of the Nigeria Labour Law.
Demonstrated decision-making skills in an organizational environment
Proven communication and interpersonal skills required to interact with management and employees; collaborate on teams and develop positive working relationships
Excellent written and verbal communication skills with attention to details
Ability to work diligently under pressure and maintain confidentiality
Proficient computer skills and knowledge of email, Word, Excel, Power Point; working knowledge of office equipment
