Job Summary

• The Receivables Officer is responsible for managing assigned customer accounts to ensure timely collection, accurate account reconciliation, and compliance with our company’s credit control policies.
• The role is critical to maintaining cash flow, minimizing overdue receivables, and strengthening customer relationships in collaboration with the Sales and Treasury teams.

Key Responsibilities
Receivables Management & Collections:

• Maintain overdue balances below 10% of total receivables for all assigned customers;
• Assist Sales team to ensure 100% collection of all balances overdue above 45 days within 15 days, except where management grants a written waiver
• Contact customers for overdue invoices within 5 days of due date and ensure statements are acknowledged and signed.

Customer Account Reconciliations:

• Reconcile 20 customer accounts weekly and submit signed statements on or before Saturday of every week;
• Identify and document all discrepancies during reconciliation;
• Collaborate with Sales team to resolve 100% of reconciliation disputes within 5 working days.

Reporting & Documentation:

• Prepare and submit Customer Huddle Report weekly by 10:00 a.m. every Saturday;
• Maintain proper documentation of customer communications, reconciliations, and disputes.

Payment Posting & Unposted Deposits:

• Provide customer auxiliary details for all unposted deposits identified by Treasury within 4 hours of receiving the report:
• Escalate immediately to the AR Manager any payment not traceable to a customer account for urgent resolution.
• Carry out other duties that may be assigned to you from time to time.

Qualifications & Requirements

• Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
• 4–5years’ experience in Accounts Receivable, Credit Control, or related finance roles.
• Strong reconciliation and analytical skills.
• Good knowledge of ERP/accounting software and MS Excel.
• Excellent communication and negotiation skills.
• Ability to work under pressure and meet strict deadlines.
• Strong attention to detail and commitment to accuracy.
