    Executive Assistant to the GMD

    Role Overview

    • We are seeking an extraordinarily capable Executive Assistant who will serve not only as the GMD's organisational anchor, but as a strategic partner — someone who functions, in practice, as a Chief of Staff. This is not a conventional EA role. The right candidate will be someone who has operated at the highest levels of executive support and understands that true effectiveness in this position requires commercial acumen, discretion, strategic thinking, and the confidence to act decisively in the GMD's stead when required.
    • You will manage the full scope of the GMD's professional world — from orchestrating a complex schedule and driving cross-functional follow-through, to representing the GMD in internal and external engagements and ensuring that no strategic priority falls through the cracks.
    • You will be the GMD's eyes and ears across the organisation, and the invisible engine that keeps the executive office running with precision.

    Key Responsibilities
    Executive Office Management:

    • Manage the GMD's calendar with a high degree of intelligence — not just scheduling meetings, but making informed decisions about what warrants the GMD's time and attention.
    • Oversee all executive correspondence, ensuring timely, professional, and appropriately prioritised responses on behalf of the GMD.
    • Coordinate complex domestic and international travel logistics including itineraries, visas, accommodation, ground transport, and meeting briefings.
    • Prepare the GMD for meetings, engagements, and presentations by compiling comprehensive briefs, background notes, and talking points.

    Chief of Staff Functions:

    • Track and follow up on all strategic action items, commitments, and deliverables emanating from executive meetings, ensuring accountability across the leadership team.
    • Act as a trusted liaison between the GMD and internal stakeholders — subsidiary heads, department leads, board members, and external partners.
    • Attend leadership meetings, take high-quality minutes, and ensure the accurate translation of decisions into trackable actions.
    • Manage the GMD's office budget, discretionary expenses, and vendor relationships related to the executive office.
    • Proactively identify gaps in the GMD's agenda and flag risks or issues before they escalate, offering well-considered solutions.

    Strategic & Project Support:

    • Support the GMD in the preparation of board presentations, investor decks, strategic reports, and executive communications.
    • Conduct research, competitive intelligence, and data synthesis on business, market, and industry topics as required by the GMD.
    • Manage and drive special projects assigned by the GMD, coordinating cross-functional teams and reporting on progress.
    • Maintain a running awareness of group-wide strategic priorities and flag key milestones, risks, and dependencies to the GMD in a timely manner.

    Stakeholder & Relationship Management:

    • Serve as the first point of contact for high-value stakeholders, investors, and VIP guests engaging with the GMD's office.
    • Build and maintain strong professional relationships with key internal and external contacts, representing the GMD's office with discretion and authority.
    • Manage confidential information with absolute integrity and exercise sound judgement on all matters of sensitivity.

    Qualifications and Experience

    • A Bachelor's degree is required; a postgraduate qualification in Business Administration, Management, or a related field is a significant advantage.
    • Minimum of 7 years of experience in executive support, with at least 3 years providing C-suite-level EA or Chief of Staff support in a structured organisation.
    • Experience in a fast-paced, high-growth, or conglomerate environment is strongly preferred.
    • Exceptional written and verbal communication skills, you will write and speak on behalf of the GMD, and the quality of your communication must reflect that.
    • Demonstrated ability to manage complex, competing priorities under pressure without compromising on quality or professionalism.
    • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project/task management tools.
    • Impeccable personal presentation and professional conduct befitting a premium executive environment.
    • A track record of building strong, trusted relationships with senior executives and external stakeholders.

    Personal Attributes:

    • Exceptional Discretion & Confidentiality
    • Proactive Problem Solving
    • High Emotional Intelligence
    • Meticulous Attention to Detail
    • Outstanding Communication Skills
    • Commercial & Strategic Awareness
