Projects Coordinator at Eastern Plains Integrated Farms Limited

JOB SUMMARY

• The Projects Coordinator is responsible for coordinating and supporting the successful planning, execution, monitoring, and completion of engineering, infrastructure, construction, and expansion projects across the organisation. 
• The role provides end-to-end coordination of project activities, ensuring that projects are delivered within approved timelines, budgets, quality standards, safety requirements, and agreed specifications. The Projects Coordinator serves as a key link between the Projects & Engineering team, contractors, consultants, suppliers, procurement, finance, operations, and other relevant stakeholders. 

KEY RESPONSIBILITIES

• Coordinate project planning, including schedules, timelines, milestones, deliverables, workstreams, and project kick-off activities.
• Monitor project execution against approved plans, specifications, schedules, quality standards, and deliverables.
• Coordinate site visits, inspections, project meetings, progress reviews, and follow-up on agreed action points.
• Coordinate contractors, consultants, suppliers, vendors, and internal stakeholders to ensure effective project delivery.
• Monitor contractor and consultant performance against agreed scope, timelines, quality requirements, and contractual obligations.
• Track project budgets, expenditure, variations, additional works, and potential cost overruns, working closely with Finance and Procurement.
• Review project-related documentation, invoices, submissions, and supporting records before escalation for approval.
• Maintain comprehensive and up-to-date project documentation, including contracts, drawings, specifications, schedules, approvals, invoices, and project records.
• Prepare weekly, monthly, and ad-hoc project reports, site reports, meeting minutes, action trackers, and progress updates.
• Monitor project risks, quality, HSE, and compliance requirements, ensuring deviations are identified, documented, and escalated appropriately.
• Coordinate inspections, testing, commissioning, and quality checks to ensure projects meet approved standards and specifications.
• Identify opportunities for improved project efficiency and cost optimisation while maintaining quality, safety, and compliance.
• Support timely resolution of project issues and ensure outstanding actions, deliverables, and milestones are followed through to completion.

QUALIFICATION & REQUIREMENTS

• Bachelor’s degree in project management, Engineering, Construction Management, Quantity Surveying, Building Technology, or a related discipline.
• Minimum of 5–7 years’ relevant experience in project coordination, project management, engineering, construction, infrastructure development, or related fields.
• Professional certification such as PMP, COREN, or relevant engineering/construction accreditation is an advantage.
• Proven experience coordinating multiple projects, workstreams, schedules, milestones, and deliverables.
• Demonstrable experience managing and coordinating contractors, consultants, suppliers, vendors, and other project stakeholders.
• Experience in construction, facility development, infrastructure, farm development, industrial, or other operational projects is highly desirable.
