    Procurement Officer

    • Procurement & Sourcing: Identify, source, and purchase truck spare parts, maintenance tools, and other logistics-related supplies in line with specifications. 
    • Negotiation: Negotiate favorable terms (price, credit, delivery timeline, warranty, and after-sales service) with suppliers. Ensure purchases are made from approved and reliable vendors while exploring alternative sources when necessary.
    • Vendor & Supplier Management: Develop and maintain relationships with reliable suppliers and service providers. Evaluate vendor performance based on quality, delivery timelines, and compliance with agreements.
    • Market Intelligence: Conduct regular market surveys to monitor pricing trends, availability of genuine spare parts, and emerging suppliers to improve cost efficiency and procurement strategy.
    • Purchase Order (PO) Management: Prepare and issue accurate Purchase Orders (PO), tracking their progress until final delivery and successful receipt.
    • Requisition Processing: Receive and meticulously review Purchase Requisitions (PR) for accuracy, technical specifications, and necessary approvals, particularly for specialized automotive parts.
    • Quotation & Bidding: Initiate and manage the Request for Quotation (RFQ) process, ensuring competitive bidding in line with the company\'s financial regulations and Nigerian procurement best practices.
    • Quality Assurance: Ensure all purchased spare parts and consumables meet required standards, technical specifications, and authenticity, preventing counterfeit or substandard supplies.
    • Inventory & Stock Control: Coordinate with storekeepers/workshop supervisors to monitor spare parts stock levels and initiate timely replenishment to avoid vehicle downtime.
    • Compliance & Policy Adherence: Ensure all procurement activities comply with company policies, ethical standards. Ensure all local vendors comply with relevant Nigerian regulatory bodies (e.g., CAC registration, tax clearance, compliance certificates for safety equipment).
    • Operational Support: Work closely with mechanics, workshop supervisors, and fleet managers to understand technical requirements and deliver fit-for-purpose solutions.
    • Documentation & Reporting: Prepare accurate purchase orders, vendor evaluation reports, and procurement analysis. Submit periodic procurement reports with insights on costs, savings, and supplier performance.
    • Budget Management: Monitor procurement expenditure against approved budgets and identify opportunities for cost savings without compromising quality or timeliness.
    • Risk Management: Identify procurement risks such as supplier defaults, counterfeit parts, or delays, and develop mitigation strategies to protect the business.
