    Personal Assistant to Managing Director

    Role overview

    • This role is the primary point of contact for internal and external constituencies on all matters pertaining to the Managing Director.
    • The holder of this position must be able to handle technical and Administrative matters.
    • The post holder will be a part of the Leadership Team

    Key Responsibilities:

    • Provide a sophisticated day to day calendar management for the MD/CEO to ensure high value time utilization.
    • Complete a broad variety of administrative tasks that facilitate the MD/CEO’s ability to effectively lead the organization, including: producing complex documents, reports, and presentations; collecting, analysing and preparing information for meetings with staff and outside parties.
    • Draft speeches, articles, briefings, and project proposals as requested by the MD/CEO.
    • Respond to management team and other stakeholder queries promptly and professionally, both orally and in writing.
    • Assist MD/CEO during operational reviews through follow up on assigned performance tasks and deadlines.
    • Provides regular operating status reports to the MD/CEO as needed.
    • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the MD/CEO, including those of a highly confidential or critical nature.
    • Attending meetings with the MD/CEO when and where necessary.
    • Maintain the MD CEO’s office supplies inventory by checking stock to determine inventory level; engaging with the relevant Department to ensure restocking.
    • Ensuring all meeting papers for the MD/CEO are received and available in good time to allow the necessary briefing and sourcing of further information if required.
    • identify and make all travel arrangements well in advance for the MD/CEO for official assignments.
    • Facilitate the flow of emails and telephone communications.
    • Follow up to ensure scheduled meetings take place and prioritise meetings to ensure there are no double bookings/conflict in appointments given.
    • Co-ordinate and expedite follow-up work as may be required i.e. record and circulate tasks to the Leadership Team.
    • Ensure efficiency in the office of MD/ CEO and oversee aesthetics and cleanliness.

    Change to Responsibilities:

    • The MD/CEO through the Corporate Services Department may amend these responsibilities at any time in line with the changing organisational strategy, structure and roles.

    Other requirements:

    • The position is located in Lagos but may necessitate the holder of the post to travel around the Country as the case maybe.

    Compensation Package:

    • Salary: Competitive
    • Location: Lagos
    • Work Hour: Normal Office hours are 8.00am-5pm with one-hour break Monday-Friday but at the exigencies of the job
    • Annual Leave: In line with the Organisation’s policy
    • Pension: In line with the pension scheme of the Organisation
    • Contract: Permanent
    • Probation: Six months

    PERSON SPECIFICATION

    Education:

    • Essential: Degree In any field of study
    • Preferable: M.Sc if available

    Experience:

    • Essential: Consolidated 8-10years work experience in related field

    Key Skills and Competencies:

    • Excellent communication skills, both written and oral (including presentations)
    • Proficient in computer (word, spreadsheets, PowerPoint, databases and the Internet)
    • Digitally savvy and adept at using social media
    • Ability to Multitask

    • Good at conducting research and preparing reports
