Operations Manager at Hartwell Hospital

ROLES AND RESPONSIBILITIES:

Expected roles and duties and some privileges for the hospital role of General Manger.

THE POSITION.

The General manger shall oversee the day to day administration of the hospital ensuring the smooth management of all hospital operations. He Shall be responsible for the timely reception and execution of health services by providing smooth coordination of activities.  For a better understanding of this role , the manager shall see to the proper functioning of all departments in the hospital, administrative wise. The medical policies and treatment guidelines shall always reside in the office of the Medical Director.

MEDICAL SERVICES

• Ensure that medical services are being provided smoothly and efficiently
• Ensure all medical departments are adequately staffed and rosters properly adhered to.
• Ensure all logistics for smooth running are provided.

RECEPTION & FRONT DEST SERVICES

• Ensure staff greet all patients warmly and attend promptly to patients
• Minimize waiting times to consultation, drug dispensing and departure.
• Keep monthly records of sample wait times
• Keep records and statistics of outpatient and in patient services rendered.

FINANCE DEPT

• Ensure timely staff  and allowances payment. Ensure monthly remittance of PAYE, WHT and pension scheme payments. 
• Ensure yearly filling of annual returns and LIRS filling in April and January 
• Ensure patient billing processes are flawless
• Ensure HMO billing processes and platforms are properly filled and same remitted on a monthly basis
• Ensure tariffs with HMOs and private clients are updated continually , reflecting market trends and pricing
• Price review should be done by the accounting team with supervision

MARKETTING

• Formulate marketing strategies for continued growth of the organization
• Supervise the content of our social media handles and ensure continued time and lively discussions and engagement on the media
• Review and execute partnership deals with companies and HMOs
• Increase our functional companies and HMO engagement list.
• Ensure promptly payment from our partners 

HR ROLES

• You will serve as the primary HR personnel till  further growth and further recruitment of any assistant
• Recruit for various roles and hospital staff cadres
• Advertise all positions to ensure the best possible candidates are offered the Job positions
• Get approval from hospital MD before all appointments
• Organize for staff training: General training and Specific Job role training
• General Staff Training will be on the organizations vision and aims, objectives and major principles and etiquettes of operation
• Job specific roles training will be by the appropriate supervisor /HOD of the department.

FACILITY MANAGEMENT

• Supervise and monitor the Facility manager who reports to you.
• Ensure that the facility is in good repair state and exceptionally clean.
• Keep all facilities water systems, electrical system in good running capacity
• Ensure electrical, carpentry, and mechanical faults are promptly fixed
• Daily facility inspection to ensure all aspects work properly and faults are detected and corrected before they become obvious

SECURITY:

Work with our security outfit to ensure security is always maintained on the premises

SOCIAL MEDIA:

• Create and update our social medica handles on facebook, Twitter(X) , Instagram  and Linkedin
• Monitor our website for messages and reply appropriately
• Monthly messages and seasonal messaging to our patients.

OTHERS

Wile this covers most of the duties, any task required for the efficient operations and increased productivity shall remain your task.
