    Inventory / Store Officer

    The Inventory/Store Officer is responsible for the systematic receipt, storage, issuance, recording, and reconciliation of all materials, equipment, tools, and consumables held within X-Force Engineering Limited's stores across its construction and infrastructure project sites. The role requires a thorough understanding of construction and civil engineering materials  to enable accurate identification, quality verification, and appropriate storage of all stock items.

     Key Responsibilities and Duties 

    • Receive, inspect, and verify all incoming materials and equipment against purchase orders, delivery notes, and project specifications, ensuring that quantities, grades, dimensions, and quality standards are met before accepting any delivery into the store. Reject and document any items that do not conform to the required specifications.
    • Apply a thorough working knowledge of construction and civil engineering materials — including reinforcement bars (rebar), structural steel sections, cement types, concrete blocks, aggregates, pipes and fittings, formwork, waterproofing materials, mechanical components, and site consumables — to accurately identify, classify, and verify all stock items received and issued on a daily basis.
    • Record all stock movements — receipts, issuances, returns, and write-offs — accurately and promptly in the inventory management system or stock register on the same day of occurrence, ensuring that records are complete, legible, and fully supported by approved documentation at all times.
    • Conduct regular stock counts comprising daily spot checks, weekly cycle counts, and full monthly physical inventory exercises, reconciling physical counts against system records, investigating any variances identified, and reporting discrepancies to the Procurement Manager without delay.
    • Monitor minimum stock levels and reorder points for all critical construction materials, proactively raising material requisitions to the Procurement Manager when stock reaches the designated reorder threshold to prevent any material shortfall from causing delays to site operations or project delivery schedules.
    • Organise and maintain the store in a clean, safe, and systematically arranged condition at all times, ensuring all materials are clearly labelled, correctly categorised, stored in their designated locations, and managed on a First-In, First-Out (FIFO) basis to prevent deterioration, wastage, or expiry of time-sensitive materials such as cement, sealants, and adhesives.
    • Enforce store access controls and ensure that all material issuances are supported by a properly completed and approved Material Requisition Note (MRN) before any item leaves the store, maintaining a complete and accurate record of every transaction and ensuring that no unauthorised removals of materials or equipment occur.
    • Identify, quarantine, and report any damaged, deteriorated, or substandard materials to the Procurement Manager and Site Engineer, maintaining a Damaged Goods Register, and coordinating the return of non-conforming items to suppliers or their appropriate disposal in accordance with X-Force Engineering Limited's procurement and site management procedures.
    • Prepare and submit accurate weekly and monthly stock reports to the Procurement Manager and Project Manager covering current stock levels by material category, materials received and issued during the period, slow-moving or obsolete stock items, and outstanding purchase orders, and provide material cost and stock data to the Finance Department as required for project cost tracking and budget reporting.
    • Ensure full compliance with all Health, Safety, and Environment (HSE) requirements within the store and materials handling area at all times, including correct manual handling practices, proper stacking and storage of heavy construction materials, use of appropriate personal protective equipment (PPE), and maintenance of clear emergency access routes — and coordinate with site supervisors and the Finance Department to ensure correct final settlement of store-related accounts upon project close-out.

     Qualifications and Experience 

    Minimum Educational Qualifications:

    • Bsc/HND in Supply Chain Management, Business Administration, Civil Engineering Technology, Quantity Surveying, or a related discipline.
    • A professional certification in Supply Chain Management, Stores Management, or Procurement — such as CIPS Foundation or an equivalent CIPMN-recognised qualification — is desirable.

    Work Experience:

    • Minimum of 2–4 years of hands-on experience in an inventory, stores, or materials management role, with strong preference given to candidates with direct experience in the construction, civil engineering, infrastructure development, or related heavy-industry sectors.
    • Demonstrated practical knowledge of construction materials — particularly reinforcement bars, structural steel, cement, aggregates, pipes and fittings, formwork, and civil works consumables — acquired through direct site or store-based experience in a construction environment.
    • Proven experience managing stock records manually and/or using inventory management software or enterprise resource planning (ERP) systems.
    • Experience conducting physical stock counts, reconciling inventory variances, and preparing stock reports for management review.
    • Experience working within an HSE-conscious construction or site environment with a clear understanding of safe materials handling and storage requirements.
