    Facility Officer

    Department: Administration / Facilities Management
    Reports To: Facility Manager / Head of Administration

    Job Summary

    The Facility Officer is responsible for overseeing the day-to-day management, maintenance, and upkeep of the company\'s facilities, ensuring a safe, clean, and functional working environment. The role requires strong experience in facility management, landscaping and gardening, supervision of janitorial personnel, and coordination of facility support services to maintain the company\'s premises to the highest standards.

    Key Responsibilities

    Facility Management

    • Oversee the maintenance and proper functioning of office buildings, factory premises, staff facilities, and other company infrastructure.
    • Conduct regular inspections of facilities and recommend repairs or maintenance requirements.
    • Coordinate preventive and corrective maintenance activities for facility-related equipment and infrastructure.
    • Ensure all facilities are maintained in a safe, clean, and operational condition.

    Janitorial Workforce Coordination

    • Supervise and coordinate janitors, cleaners, and housekeeping personnel.
    • Develop and implement cleaning schedules for offices, production areas, restrooms, and common areas.
    • Monitor the quality of cleaning services and ensure compliance with company standards.
    • Manage attendance, deployment, and performance of janitorial staff.

    Gardening & Grounds Maintenance

    • Oversee landscaping, gardening, and beautification activities across the company premises.
    • Ensure lawns, flower beds, trees, and green areas are properly maintained.
    • Coordinate gardeners and external landscaping contractors where applicable.
    • Recommend improvements to enhance the appearance and functionality of outdoor spaces.

    Vendor & Contractor Management

    • Liaise with facility service providers, maintenance contractors, and vendors.
    • Monitor contractor performance and ensure work is completed according to agreed standards.
    • Assist in sourcing facility-related materials, equipment, and services.

    Health, Safety & Compliance

    • Ensure compliance with company HSE policies and facility management standards.
    • Identify and report potential safety hazards within the premises.
    • Support workplace safety inspections and corrective action implementation.

    Administrative & Reporting Functions

    • Maintain records of facility maintenance activities, inspections, and service requests.
    • Prepare periodic facility management reports.
    • Monitor inventory of cleaning supplies, gardening tools, and facility consumables.
    • Assist in budget planning for facility maintenance and support services.

    Requirements & Qualifications

    • B.Sc./HND in Facilities Management, Estate Management, Business Administration, Engineering, or a related discipline.
    • Minimum of 3–5 years\' experience in facility management, property management, or administrative support services.
    • Demonstrated experience in supervising janitorial and gardening personnel.
    • Good knowledge of facility maintenance, grounds management, and housekeeping operations.
    • Strong organizational and coordination skills.
    • Good communication and interpersonal skills.
    • Proficiency in Microsoft Office applications.
    • Ability to work independently and manage multiple responsibilities effectively.
