The Facility Manager is responsible for the effective management, maintenance, safety, functionality and accountability of all College facilities and physical assets. The role requires strong ownership, attention to detail and the ability to ensure that facilities, equipment and vehicles are properly used, maintained and accounted for.
Key Responsibilities
- Provide overall oversight of the College buildings, facilities, furniture, fittings, equipment and fleet.
- Ensure that all facilities and assets are maintained in a safe, functional, clean and presentable condition.
- Develop and implement preventive maintenance schedules and ensure timely execution.
- Maintain accurate and up-to-date asset registers, maintenance records, inventory and service histories.
- Monitor the condition and use of College assets and promptly identify damage, misuse, loss, deterioration or unauthorised use.
- Enforce staff adherence to facility and asset-use policies, procedures and protocols.
- Ensure that faults, repairs and maintenance requests are properly logged, prioritised, followed up and closed out.
- Supervise facility-related vendors, contractors and service providers, ensuring quality, value for money and proper documentation.
- Oversee the College fleet in collaboration with the relevant personnel, ensuring vehicle safety and responsible use.
- Monitor facility-related expenditure and ensure that resources are used efficiently and accountably.
- Conduct regular inspections of facilities and provide timely reports on the condition of assets, outstanding issues and required interventions.
- Investigate and report incidents involving damage, loss, negligence or misuse of College property.
- Coordinate emergency repairs and facility-related responses while ensuring minimal disruption to school operations.
- Drive a culture of care, responsibility and accountability for College property among staff and other users.
Key Performance Indicators
Success in this role will be measured by:
- High availability and functionality of College facilities and assets.
- Reduction in avoidable breakdowns, damage, losses and maintenance costs.
- Accurate and current asset and maintenance records.
- Timely completion and close-out of maintenance requests.
- Compliance with facility-use and asset-management policies.
- Effective monitoring and accountability of fleet operations.
- Quality and cost-effectiveness of vendors and contractors.
- Regular and accurate facility inspection and management reports.
- Demonstrable improvement in the overall condition, appearance and functionality of the College environment.
Educational Qualification
- Bachelor’s Degree or Higher National Diploma (HND) in Facilities Management, Estate Management, Building Technology, Engineering, Quantity Surveying, Architecture, or a related discipline.
- A professional certification in Facilities Management, Project Management, Health & Safety, or a related field will be an added advantage.
Person Specification
The successful candidate must:
- Have at least 5 years’ relevant experience in facilities management, preferably within a school, corporate or institutional environment.
- Have proven experience managing buildings, maintenance, assets, fleet and service providers.
- Demonstrate a strong sense of ownership, accountability and responsibility.
- Possess strong organisational, supervisory and problem-solving skills.
- Be proactive, highly observant and capable of identifying potential facility issues before they become major problems.
- Be firm and consistent in enforcing policies and holding users accountable for the proper use of College property.
- Demonstrate sound judgement, integrity and financial/resource accountability.
- Be comfortable working with maintenance records, inventories, budgets, reports and contractors.
- Possess good communication and interpersonal skills and the ability to work effectively across departments.
