Candidates for this role must be passionate, ambitious, highly flexible and smart. He/she will be responsible for the following and more:
Managing professional and personal schedule of daily administrative duties and completing a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings for the CEO.
Communicating directly and on behalf of the CEO with Board members, donors, foundation staff, and others on matters related to programmatic initiatives as directed.
Assisting with ad hoc projects, events, and travel arrangements as needed.
Organizing all aspects of Executives’ professional and personal lives to facilitate maximum efficiency and productivity of the CEO.
Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
Drafting reports, letters of solicitation, proposals on sport events and infrastructures for prospective clients, partners and donors.
Receiving and screening telephone calls and e-mail messages, recording messages or and providing assistance using independent judgment to determine those requiring priority attention.
Make recommendations for the CEO with regard to his time management, prioritization, delegation, and organization.
Communicating with the Executives and coordinating the full life cycle arrangements for their meetings from arrival to departure.
Maintaining professionalism and strict confidentiality with all materials, and exercising discretion when interfacing with the business.
Organizing team communications and planning events, both internally and offsite.
Bachelor Degree in Business Administration and any other related degree
3+ years proven experience as an executive assistant and other relevant administrative support experience.
Ability to drive and possess a valid driver's license is an added advantage.
Strong time-management skills and the ability to organize and coordinate multiple projects at once.
Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems.
Ability to function at a high level with minimal supervision, stay organized and adjust to constantly changing priorities.
Ability to organize a daily workload by priorities.
Expected to work longer hours from time-to-time as business demands may require.
Analytical and problem-solving abilities with keen attention to details.
Must be able to meet deadlines in a fast-paced changing environment.
