    Executive Assistant/Legal Team Member

    Checkoff Finance is looking for a well-organized Executive Assistant to provide support for our Senior Executive. This is a great opportunity to establish working relationships with high-level executives and contribute to the overall efficiency of our organization.     Job Description

    • Provide support to the executive office in a proactive and timely manner, managing the executive’s schedule, handling correspondence, preparing analyses, and ensuring implementation of objectives promptly.
    • The ideal candidate will provide top-level assistance for high-level executives.
    • They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive’s behalf.
    • Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.
    • Intermittent travels will be required for this Job role.

    Responsibilities

    • Assist an executive by being the point of contact for all communication i.e., the phone, email, etc. Duties also include interfacing with clients
    • Manage the executive’s schedule by arranging appointments, Protocol matters, travel itineraries etc.
    • Produce reports for the executive, based on historical references or research, as requested
    • Keep information confidential and secure.
    • Maintain and improve the office filing system, for ease of retrieval of documents.
    • Take dictation and capture minutes during meetings.
    • Coordinating secretarial and admin activities in the absence of the CEO.
    • Carrying out ad-hoc projects and research and managing accounts and budgets on a case-by-case basis.
    • Represent the executive in their absence by attending meetings and taking notes.
    • Maintain professional knowledge levels by attending workshops and following publications

    Qualifications / Experience

    • Degree in Law or Business related fields.
    • 2 - 5 years of experience working as an Executive Assistant or in a similar position.
    • Strong organizational skills with eye for detail.
    • Tech-savvy and acquainted with office management procedures.
    • Prior experience as an HR Generalist or in a related position.
    • Basic computer knowledge and use of MS Office.
    • Appreciable knowledge of laws and regulations of the workplace, employment, and labor.
    • Strong communication, people, and management skills.
    • Analytical mind with a problem-solving attitude.
    • Excellent verbal and written communication skills.

    Salary range: 1.5m - 2.2m gross per annum
