    Assistant Head of Operations

    Job Summary

    The Assistant Head of Operations supports in overseeing the daily activities of the organization. This includes managing projects, coordinating logistics, ensuring compliance with regulations, and optimizing operational processes to enhance the organization's impact.

    Roles and Responsibilities

    • Assist in the development and implementation of operational strategies, policies, and procedures.
    • Ensure smooth day-to-day operations and address any operational challenges.
    • Support the planning, execution, and monitoring of projects.
    • Ensure projects are completed on time, within scope, and within budget.
    • Coordinate logistics for the delivery of goods and services.
    • Oversee supply chain activities to ensure timely procurement and distribution of resources.
    • Assist in recruiting, training, and supervising staff and volunteers.
    • Ensure staff compliance with organizational policies and procedures.
    • Support budget preparation and financial planning.
    • Monitor and control operational expenses to ensure cost-effectiveness.
    • Ensure compliance with local laws, regulations, and donor requirements.
    • Prepare and submit operational reports to senior management and stakeholders.
    • Liaise with donors, partners, government agencies, and other stakeholders.
    • Maintain positive relationships and ensure effective communication.
    • Identify and mitigate operational risks.
    • Develop contingency plans to address potential disruptions.

    Duties

    • Oversee daily administrative tasks and ensure operational efficiency.
    • Address any operational issues that arise and implement solutions promptly.
    • Coordinate project activities and ensure alignment with organizational goals.
    • Track project progress and report on key performance indicators.
    • Manage inventory and ensure the availability of necessary resources.
    • Coordinate the distribution of supplies to various project sites.
    • Supervise operational staff and provide guidance and support.
    • Conduct performance evaluations and provide feedback to team members.
    • Assist in financial monitoring and ensure expenditures are within budget.
    • Prepare financial reports and support audits as required.
    • Monitor compliance with organizational policies and external regulations.
    • Ensure that all operational activities adhere to legal and ethical standards.
    • Facilitate effective internal communication and coordination among departments.
    • Represent the organization in meetings and forums as needed.

    Position Requirements

    • A Master’s Degree or Degree in Business Administration, Management, Logistics, or a related field.
    • Relevant certifications or additional training in NGO operations is a plus.
    • 4-5 years of experience in operations management, preferably in the NGO sector.
    • Proven track record of managing projects and operational activities.
    • Proficiency in project management software and tools.
    • Strong financial acumen and budgeting skills.
    • Excellent communication and interpersonal skills.
    • Strong organizational and problem-solving abilities.
    • Ability to work under pressure and handle multiple tasks simultaneously.
