    Admin Manager

    Job Summary:

    • The Administrative Manager is responsible for overseeing and coordinating the daily administrative operations of the organization.
    • This role involves managing administrative staff, developing and implementing efficient office procedures, and ensuring the smooth functioning of all administrative tasks.
    • The Administrative Manager will collaborate with various departments to support organizational goals and maintain a productive and professional work environment.

    Key Responsibilities:

    Supervise Administrative Staff:

    • Assign tasks and monitor performance to ensure efficiency and productivity.
    • Provide guidance, support, and ongoing feedback to administrative team members.

    Office Operations Management:

    • Develop and implement office policies, procedures, and workflows to streamline operations.
    • Coordinate office activities and allocate resources effectively.
    • Oversee facility management, including maintenance, repairs, and office supplies procurement.

    Administrative Support:

    • Provide administrative support to executive management, including calendar management, travel arrangements, and meeting coordination.
    • Manage correspondence, emails, and phone calls, ensuring timely responses and appropriate prioritization.
    • Prepare and distribute reports, presentations, and other documents as required.

    Financial Administration:

    • Assist in budget preparation and monitoring, including tracking expenses and managing administrative budgets.
    • Process invoices, expense reimbursements, and financial transactions accurately and promptly.

    Records Management:

    • Maintain and organize electronic and physical records, ensuring confidentiality and compliance with data protection regulations.
    • Develop and implement record retention policies and procedures.
    • Oversee document management systems and ensure accessibility and security of records.

    Communication and Coordination:

    • Facilitate communication between departments and coordinate cross-functional projects as needed.
    • Serve as a liaison between management, staff, and external stakeholders.
    • Foster a positive and collaborative work environment through effective communication and teamwork.

    Qualifications and Skills:

    • Bachelor’s degree in Business Administration, Management, or related field.
    • Minimum of five years of experience in administrative management or a similar role.
    • Strong leadership and interpersonal skills, with the ability to motivate and manage a diverse team.
    • Excellent organizational and time management skills, with a keen attention to detail.
    • Proficiency in office software applications (e.g., Microsoft Office Suite, Google Workspace).
    • Knowledge of finance and budget management.
    • Excellent communication skills, both written and verbal.
    • Ability to prioritize tasks, handle multiple projects simultaneously, and work under pressure.
