    Executive Assistant

    The Academy seeks to recruit an Executive Assistant to the President to help improve productivity. Are you ready to be the boss' right hand?

    The Executive Assistant will be responsible for running business errands, maintaining ongoing business files, working with the administrative team to set up the organisation’s conference room for important meetings and assisting with creating outgoing correspondence. The Executive Assistant will work with high-level executives within and outside the Academy and will also provide top-level assistance, be entrusted with more high-end or complex duties and possibly oversee other support staff. The EA will also be strategic to the delivery of the West African Institute of Public Health which is a key project of WAAPH and will support other team members in setting up necessary systems.

    POSITION: Executive Assistant to the President 

    RESPONSIBILITIES:
    This person is in control of the following activities;

    • Keeps track of the President's calendar, which is likely to be a full one that involves juggling several co-existent entities. This involves more than pencilling people into empty spaces. Serve as gatekeeper and reminds the President of events on the calendar
    • Ensures the President is prepared with the right documents and information, including preparing and reviewing key documents, proposals and PowerPoint presentations 
    • Handle confidential and sensitive materials, as well as those that require analyzing before composing detailed responses.
    • Conduct research, analyze findings and report on them to the President and others.
    • Sometimes attend meetings alongside the President or serve as the delegate of the President.
    • Proactive follow- through with schedules and anticipating needs and time demands
    • Will serve when needed as the point person for updates on business development
    • Maintain all hard copy and digital records for ongoing executive projects
    • Assist in creating and distributing meeting minutes for the office meetings and other executive meetings with President in attendance
    • Provide reports of meeting as President’s delegate or nominee
    • Work with executive administrative and programme teams to create spreadsheets and presentation information for meetings

    EMPLOYMENT TYPE

    Fixed-term with initial 6 months probationary period
     
    REQUIREMENTS AND QUALIFICATIONS

    • A good first degree from a reputable University. A first degree in public health  is an added advantage
    • A postgraduate Master’s Degree in public health, health economics or management will be a plus.
    • Ability to connect dots with good research and proposal writing is a minimum capacity expectation
    • Strong sense of responsibility and ability to complete tasks with minimal supervision
    • Proficiency in use of computers including Microsoft Office, Microsoft Project, Spreadsheets and database are key
    • Capacity to leverage on Social Media for development communication with impeccable written and oral communication skill
    • Some knowledge of development or health sector would be an asset
    • Good grasp of project execution, stakeholder engagement and management are important
    •  Strong office management skills in a multicultural setting are important
    • Previous experience handling a principal at the level of a CEO is an advantage

    A minimum of three -year work experience is desired.
