    Operations Intern

    Job Role & Person- Specification 

    • AfriLabs is seeking to recruit an Operations intern to join our team and support the day-to-day activities of our Operations department.
    • He/she will be responsible for planning, and coordinating employee logistics support operations to ensure the smooth running of the organisation’s processes.
    • To be successful in this role, you should have strong analytical and numerical skills with the ability to pay attention to details. 

    Responsibilities: 

    • Assist with the planning, and organising the activities of the Operations department
    • Contributing to the development of Operations department goals, objectives, and systems.
    • Developing, revising, and recommending operational policies and procedures.
    • Support in the development, updating and filing of all relevant logistics records
    • Support physical meetings in the office by providing all necessary items needed for the meeting.
    • Participating in administrative/operations staff meetings.
    • Maintaining company directory and other organisational charts.
    • Assist in the organization and analysis of RFQ’s for logistics & transportation services
    • Verify the accuracy of inbound purchase orders and sales orders
    • Track and report key functional metrics to reduce expenses and improve effectiveness
    • Negotiate rates and costs with vendors
    • Provide logistical support to the department ensuring the smooth running of the Organisation.
    • Support in the equipment maintenance requests and office moves.
    • Support the department in making all necessary logistics arrangements and travel itineraries whilst preparing and filing travel authorizations.
    • Develop and maintain a filing system while organising and scheduling appointments with admin software. 
    • Plan and provide logistical support for travelling employees.

    Required Skills, Qualifications & Abilities: 

    Qualifications 

    • A minimum qualification of the first degree in, Administration, Management, Accounting or Business equivalent.

    Skills & Experience 

    • Good knowledge in logistics management, planning and can manage time.
    •  Knowledge of office and administrative practices and principles.
    • Communication skills. Knowledge of the English language is compulsory in speaking, writing and listening/understanding.
    • Should be able to multitask, be flexible, be hardworking and teachable.
    • Administrative skills with information communications technology commonly used in office applications such as Microsoft Office programs, Google drive. 
    • Ability to handle sensitive and confidential matters and respond as required.
    • Skill in problem solving and decision-making
    • Prior experience in the role for at least 1 year
    • Ability to draft contracts, MoU, and other documents is an added advantage.
    • Knowledge of the African innovation, technology and entrepreneurship space will be an added advantage.
    • An understanding of the non-profit/development sector, including donor relations and management.
    • Strong interpersonal skills and the ability to work effectively with others at all levels;
    • Strategic thinking, particularly with regard to systems approaches and operational efficiency;
    • Strong analytical organisational, coordination and communication skills;
    • Ability to work in a multidisciplinary and multicultural environment
    • Ability to find ways of pre-empting and solving problems.

    Programmes Intern

    • As the Programmes Associate, you will play a vital role in assisting the Programmes department and collaborating closely with the Director of Programmes.Your duties will include administrative support, document management, proposal writing assistance, and project coordination to contribute to the success of AfriLabs' initiatives.

    Responsibilities:

    • Properly file all documents on assigned projects.
    • Schedule project team meetings as well as meetings with external stakeholders using the Organization's Recommended platforms.
    • Attend meetings and take minutes.
    • Disseminate project information.
    • Actively support the supervisor to follow up on project tasks and work with the project's deadlines.
    • Follow up with your supervisor in engaging external stakeholders where necessary.
    • Document project activities for reporting.
    • Perform research at a supervisor's request.
    • Perform other duties as required or assigned.

    Required Skills, Qualifications & Abilities:

    Qualifications

    • A bachelor’s degree in Business Administration, Management or any Social Sciences related field.

    Creative Media Officer

    • The Creative Media Officers will be responsible for the implementation of AfriLabs digital and multimedia strategy. They will manage, create, edit, and post multimedia content and campaigns on AfriLabs website, microsites, social media platforms, email newsletters, and other digital communications platforms
    • The ideal candidates should possess a strong creative mindset, exceptional skills in graphic design, video production, photography, and content creation. They will play a pivotal role in developing visually engaging multimedia content across various media channels

    Responsibilities:

    • Demonstrate a strong creative flair and the ability to think outside the box, bringing fresh ideas and concepts to the table.
    • Proficiency in graphic design tools such as Adobe Photoshop, Illustrator, and InDesign is essential for creating visually compelling content across various media channels.
    • Experience in video production and editing, including skills in shooting, editing, and post-production techniques. Familiarity with software like Adobe Premiere Pro, Final Cut Pro, or DaVinci Resolve is desirable.
    • Develop targeted, engaging, and cohesive multimedia content including graphics and videos, of AfriLabs’s activities that are well packaged, specific to the respective digital platforms and audience.
    • Develop engaging multimedia content including graphics, videos, animations, and interactive media.
    • Strong writing skills are essential for crafting compelling captions, headlines, and other written content to accompany visual media.
    • Ability to manage multiple projects simultaneously, meet deadlines, and work efficiently under pressure. Experience with project management tools and workflows is a plus.
    • Collaborate closely with other team members, including designers, programs team and content creators, to ensure cohesive and effective media campaigns.
    • Demonstrate a willingness to learn new technologies, tools, and techniques to stay ahead of trends in the constantly evolving media landscape. Handle layout, testing, and dissemination of emails and newsletters, while ensuring CRM and list standards are met.
    • Proficiency in using Google Suite tools such as Google Docs, Sheets, Slides, and Drive for collaboration, document creation, and data management.
    • Experience in creating motion graphics and animations using software like Adobe After Effects or similar tools, adding dynamic elements to video content.
    • Ensure day-to-day maintenance and optimization of Afrilabs digital properties, maintaining security, functionality, and consistency with brand look, tone, and voice in line with digital and multimedia plan.
    • Proficiency in SEO, HTML, Dreamweaver, Canva, Illustrator, Photoshop, and video editing software such as Adobe Premiere with solid experience in producing high-quality content and design output.

    Required Skills, Qualifications & Abilities:

    • Bachelor's degree in Graphic Design, Media Production, Communications, or related field.
    • Proven experience in graphic design, video production, and content creation.
    • Excellent portfolio showcasing creativity and proficiency in multimedia content creation.
    • Strong communication and interpersonal skills.
    • Ability to thrive in a fast-paced, collaborative environment.
    • Detail-oriented with strong organizational and time management skills.
    • Ability to synthesize ideas and communicate complex or technical concepts clearly into simplified, compelling, accessible content for a general audience.
    • Proficient in English, French is an added advantage
