    RRM Distribution Supervisor

    Goal / Purpose

    • The RRM and Distribution Logistics Supervisor provides support to program teams in the preparation, response, and follow-up of deployments for the distribution of food and non-food items.
    • He/She is responsible for transportation and storage of the kits .
    • He/She is responsible for the identification and assessment of distribution sites
    • He/she manages RRM stocks in NW, in liaison with the storekeeper, program teams and partners.
    • He/she draws up and monitors program and logistics contracts and EOFs for items procurement/ transport and relations with suppliers.
    • He/she brings to the planning of distribution activities a logistics and feasibility point of view, taking into account access and supply issues and constraints.

    Description of the Position
    Transporting NFIs kits and WSH/SHE Materials:

    • Propose vehicle, transport, and fuel dimensions to the PM for each operation.
    • Support the program teams in the field on the planning of distribution activities in order to make operations effective.
    • Monitor loading and unloading in NW.
    • Carry out quantitative and qualitative checks with the project's technical team (ARP/ RRM supervisor)
    • Monitor the delivery of NFI/SHE/WSH kits and materials, acting as the SI focal point for the convoy if necessary.
    • Brief the drivers on the distribution plan and the routes to be taken between the warehouse and the distribution sites.
    • If necessary, monitor the operation at the distribution sites. Ensure that all documents relating to the transport of goods and equipment are properly kept (delivery note, waybill).
    • Identify the strengths and weaknesses of delivery procedures in the field and make suggestions to the Base Logistics Manager to optimize operations.

    Stock Management:

    • Manage the arrival and departure of SI stocks in NW.
    • Maintain the link with the NW storekeepers for the preparation of the kits transport.
    • In collaboration with the storekeepers in NW, take part in the packaging of kits in NW.
    • Decide on the layout and organize the security of storage areas, with the NW storekeeper’s support.
    • Ensure that items are stored in good condition and that expiry dates are checked.
    • In collaboration with the storekeepers in NW, monitor the status of RRM stocks stored at base level.
    • Ensure compliance with procedures for stock receipts and issues.
    • Participate in program stocktaking (including buffer stock) with the logistics department and alert the PM on the need for NFI/SHE/WSH kits and materials.
    • Ensure that storage documentation is properly kept, with the NW storekeeper’s support.

    Management of Supplier-transport Relations:

    • Drawing up and updating a price list of transport suppliers
    • Participate in drawing up invitations to tender (if launched)
    • Identify and select transport suppliers, negotiate prices, delivery times and terms and conditions.
    • Drawing up and monitoring supplier framework agreements
    • Drawing up purchase files, ensuring compliance with validation rules and procedures
    • Ensure that purchase files are complete and archived in accordance with Solidarités International procedures.
    • Monitor relations with suppliers
    • Carry out a study of the prices of WSH/SHE aggregates or other items in the areas of intervention.

    Procedures, Capitalization, Accountability and Training:

    • Participate in the drafting of appropriate procedures (if needed), in conjunction with the logistics coordinator and the Base Logistics Manager
    • Transmit logistics budget forecasts for the project to the PM and the Base Logistics Manager
    • Map of intervention areas and access constraints
    • Train and build the logistics capacity of the program team
    • Participate in the implementation of the accountability strategy as defined and led by the head of mission/field coordinator.
    • Capitalize on the results (lessons learned and recommendations) of field missions and ensure that the program manager is aware of them.

    Security:

    • Ensure compliance with safety rules by teams in the field.
    • Ensure the safety of beneficiaries when selecting and planning distribution sites.
    • Brief the trucks drivers before each operation and ensure that they sign the document setting out SI's transport policy and procedures.
    • Take an active role in identifying risks and actively contribute to proposing solutions to mitigate them working closely with the security department.
    • Keep constantly informed about the evolution of the context and shares information while respecting the communication chain.

    Profile Forsaken

    • Studies: B.Sc. in Logistics, Warehouse Management, Purchasing or Supply Chain Management or any related field
    • Experience: 2 years relevant experience in a similar position with INGO.
    • Language: English, Hausa mandatory and one of the local dialects is an added advantage.
    • IT: Good Knowledge of MS Office Word, Power-Point, and advance MS Office Excel knowledge
    • Interpersonal skills: Quick learner, Ability to work autonomously, Excellent organizational skills, Flexibility to meet deadline, Hard worker.
