    Executive Assistant

    Job Description

    • We are looking for Executive Assistants to perform a variety of administrative tasks and support executive members effectively in planning, prioritizing, and executing tasks promptly.

    Job Summary

    • Executive Assistant is responsibilities include managing calendars, making travel arrangements, and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills, and be able to act without guidance.
    • Ultimately, he/she will contribute to the efficiency of the business by providing personalized and timely support to executive members.

    Responsibilities

    • Act as the point of contact among executives, employees, clients, and other external partners
    • Manage information flow in a timely and accurate manner.
    • Manage executives’ calendars and set up meetings.
    • Make travel and accommodation arrangements.
    • Rack daily expenses and prepare weekly monthly or quarterly reports.
    • Oversee the performance of other clerical staff.
    • Act as an office manager by keeping up with office supply inventory.
    • Format information for internal and external communication – memos, emails, presentations, reports
    • Take minutes during meetings.
    • Screen and direct phone calls and distribute correspondence.
    • Organize and maintain the office filing system.

    Qualifications

    • BSc Degree in any Science, Social Science-related course.
    • An MBA is an added advantage.

    Required Experience:

    • 10 -15 years related experience as an EA within a manufacturing and packing industry or similar sector
    • Excellent organizational skills with high attention to detail, including the ability to handle complex issues.
    • Design and delivery of innovative training programs
    • Must currently reside in Gbagada and its environs.
    • Most likely have real estate experience.
    • Customer orientation and ability to adapt/respond to different types of characters.
    • Excellent communication and presentation skills.
    • Ability to multi-task, prioritize, and manage time effectively.
    • Selling Skills.

    Requirements and Skills:

    • A proactive approach to problem-solving with strong decision-making skills.
    • Ability to organize a daily workload by priorities.
    • Discretion and confidentiality
    • Excellent MS Office knowledge
    • Excellent verbal and written communication skills
    • Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
    • Must be able to meet deadlines in a fast-paced quickly changing environment.
    • Must be married and in their forties.
    • Outstanding organizational and time management skills
    • Professional level verbal and written communication skills.
    • Work experience as an Executive Assistant, Personal Assistant, or similar role
    • Knowledge of regulatory and compliance requirements
    • Knowledge of HSE requirements
