    Compliance and Logistics Officer

    Job Description

    • The Compliance and Logistics Officer will report to the Executive director while working closely with the project management team. The Compliance and logistics officer will also maintain an open channel of communication with the Projects and other relevant staff as directed by the executive director.
    • The Logistics and compliance Officer ensures a smooth functioning of the MHSR office Lagos. Individual accountabilities and work volume will be established through the development of annual Success Objectives, within the framework.

    Specific Roles and Responsibilities

    • The Compliance and Logistics officer will ensure that the organization's operations and business transactions are compliant with the terms and conditions of the Grants and applicable to MHSR policies, rules and regulations.
    • The position is responsible for developing compliance programs, reviewing company policies, and advising the organization’s management on possible risks.
    • The Compliance and Logistics officer also interprets new Funders regulations and presents them in clear terms to the organization’s senior management. Furthermore, compliance and logistics officer need to design and implement internal policies that ensure that they can meet these new external requirements.
    • The compliance and logistics officer will also review employees’ work and provide advice on compliance. The officerwill be familiar with risk management and industry standards. The officer will ensure the organization operates in a legal and ethical manner and responds to policy violations while meeting project objectives.
    • The compliance and logistics officer will be responsible for training staff on these internal policies and monitoring their effectiveness.
    • During trainings, provide logistical support, such as planning events, stationary and photocopies, coordinating with hotels and restaurants
    • Support all activities pertaining to the logistics function including planning, sourcing, transport, customs clearance, warehousing, insurance, asset, and fleet management, as applicable.
    • Support maintenance of procurement files and preferred vendors in coordination with the finance department according to MHSR procedures
    • Assist in facilitating any administrative and financial needs outside the office
    • Support coordination of vehicles and travel schedules
    • Collect and disseminate best practices
    • Procure all requested supplies or equipment for office maintenance, supplies, and project implementation according to MHSR policies and procedures
    • Identify maintenance needs and take proactive steps to prevent a lack of supplies
    • Ensure supplies and equipment are delivered to appropriate locations and a record of distributions are provided
    • Conduct inventory to ensure proper management of all supplies and equipment
    • Ensure a smooth running of MHSR office in Lagos, including paying bills, and making purchases as needed
    • Provide monthly reporting on duties
    • Other duties, as assigned

    Key Working Relationships:

    • Direct Supervisor: Executive Director
    • Indirect Supervisor: Senior Management Team

    Experience and Qualifications
    At a minimum, the Compliance and Logistic officer will have:

    • Bachelor's Degree in Administration or a similar field, or equivalent years of experience including a relevant compliance certification.
    • Minimum of 3 years of relevant experience working with NGOs in humanitarian settings and Conversant with current industry compliance protocols and best practices.
    • Experience with Windows platform, including Word, PowerPoint, Excel, etc.
    • Excellent oral communication skills and written skills
    • Excellent negotiation and relationship management skills, with the ability to proactively problem solve and find solutions
    • Proven ability to calmly, professionally, and successfully manage multiple priorities
    • Progressive experience in risk management and compliance.
    • Demonstrated knowledge of legal requirements and procedures.
    • Possesses high ethical standards, excellent critical thinking, analytical, and problem-solving skills, and ability to accurately interpret complex documents and policies.
