    Warehouse Assistant

    Location: Maiduguri, Borno

    Job Purpose

    • Reporting directly to Warehouse and Supply Chain Officer, Warehouse Assistants perform number of duties aimed at ensuring that the operations of a warehouse are run smoothly on a daily basis.
    • Their work includes assisting Warehouse Officers and manager in making sure that the flow of goods/food in and out of the warehouse is handled effectively.
    • They control the flow of stock, monitor the coming in and going out of food/goods and handle stock records within a warehouse environment.

    Main Responsibilities

    • Take orders from Warehouse Officer or Managers on a daily basis and review them thoroughly
    • Ensure proper loading and unloading of food onto or from the trucks
    • Ensure that correct quantity has been received by comparing received goods/food quantities with information on the work order/packing list
    • Identify any damaged or missing food/goods cartons and record pertinent information
    • Ensure that delivery forms are signed only upon satisfaction of completed order
    • Move received goods to appropriate storage areas and ensure bin cards are prepared or updated and put accordingly.
    • Make sure that all goods are labeled properly using appropriate lot and item numbers
    • Allocate storage space for food items based on their types and sizes and expiry dates
    • Isolate and report any broken or damaged food items/goods at the time of order picking
    • Ensure that information of picked goods is recorded in logbook and submitted to the commodity Warehouse Officer or Manager
    • Identify stock that is not being utilized and report to warehouse officer.
    • Carry out physical inventory of all items in stock on weekly, monthly basis and anytime upon request or convenience.
    • Pay attention to use-by dates of food and medicine, ensuring proper stock rotation. Advise Warehouse Officer whenever expiry dates are approaching (within 2 months).
    • Identify stock that is not being utilized and report to warehouse officer.
    • Establish and maintain meaningful relationships with WFP food transporters to ensure smooth working environment
    • Maintain stable temperature conditions within the warehouse especially where perishable food items are concerned
    • Conduct himself/herself both professionally and personally in such a manner as to bring credit to IMC and to not jeopardize its humanitarian mission in Nigeria.
    • Check daily that the store is clean, organized and is regularly ventilated
    • Arrange stocks in such a way that they are easy to count, and aisles are accessible
    • Check daily and record the temperature and humidity of the medical and RUTF stores
    • Remove/ separate infected products and inform in writing the Warehouse Officer.
    • Separate foodstuffs from other stock and pay special attention to dangerous goods.
    • Ensure storage facilities are free from rats, rodents and any other pests which may damage stock and periodically plan for fumigation of storage facilities.
    • Plan for disposal of expired/ infected products in collaboration with the Warehouse officer and program teams.

    Communication and teamwork:

    • Ensure good communication with peers and donor’s representatives including Transporters
    • Facilitate harmonious working relationship with partners, beneficiaries and other stakeholders.
    • Report problems encountered in the warehouse or within the team to the Supervisor
    • Propose solution to solve any problem faced and report them to the Supervisor
    • Participate actively in regular staff and program meetings
    • Prepare weekly team’s work schedule and submit to the Emergency Program Coordinator.

    Qualifications

    • A Degree or HND in a relevant Business field is desired
    • At least 1 year of experience in large scale Logistics operation, Manufacturing and or food assistance distribution.
    • Strong organizational skills and discipline to follow outlined procedures; ability to interact effectively with international and national personnel.
    • Excellent oral and written English skills. High computer skills on MS Office (Excel, Words. Outlook) programs.
    • A demonstrated ability to multi-task and process information into action as to not delay program activities.
    • A clear understanding of procurement ethics and donor compliance is essential.
    • Willingness to travel throughout the project areas in Borno State is required.
    • Must read and understand and demonstrate willingness and ability to follow guidelines.
    • Capacity to work under stressful situations and Strong organizational and time management skills and capacity to coordinate work across multiple departments and sites.
    • Experience living in remote or isolated work stations, or insecure locations.

    Country Security Manager

    Department: Security
     
    Job Purpose

    The Country Security Manager works at the direction of the Country Director and the Director of Global Security. The primary function of the Country Security Manager is to provide assistance to the Country Director and country programs, as assigned, on all issues of safety and security as they relate to staff at a program site
    The Country Security Manager oversees daily security management of a country program site and manages the National Security Officers, as well as trains and mentors Security Focal Points
    The Country Security Manager will monitor and assess security conditions, assist and provide direction to country management teams and Security Focal Points (SFP’s)
    The Director of Global Security (DGS) is the technical manager for the Country Security Manager.

    Main Responsibilities

    To perform this job successfully, an individual must be able to perform each essential function with or without reasonable accommodation. The tasks listed are representative of the nature and level of work assigned and are not necessarily all-inclusive.

    • Security Management:
      • Develop and update the Security Risk Assessments (SRA’s), SOP’s and Contingency Plans
      • Supervise and train National Security Manager and Security Focal Points
      • Coordinate and monitor security activities to ensure that safety and security policies and procedures are implemented
      • Ensure that all field staff is fully cognizant of prevailing security threats and fully advised on means to reduce staff vulnerability to those threats
      • Design and drill warden systems, emergency communications networks, and provisioning of emergency supplies for field personnel
      • Ensure internal Incident Management System © is utilized properly and performs incident mapping and analysis
      • Collects security related information from local and regional resources as it applies to sites and communicates with Regional security focal point and the Director of Global Security (DGS) and Country Director (CD) as appropriate
      • Monitors the security preparedness of country staff and works with CD to enforce staff compliance with internal security policies and SOPs
      • When directed by the DGS, carry out after action reviews and capture lessons learned to be incorporated into future staff trainings
      • Act as a key member of the Field Incident Team when required during a crisis so that safety policies and procedures are implemented
      • Ensures logistics follows a servicing and maintenance schedule for vehicles
      • Audits communications equipment and facilitates communications-related assistance when necessary.
      • Recommends changes in country security plans to CD and DGS as needed
      • Ensure induction security briefings are conducted to all arriving staff, visitors or volunteers.
    • Compliance:
      • Ensure weekly security reports are completed and sent to headquarters, providing timely updates of all situational and security developments including investigation of security incidents
      • Conducts and submits Security Risk Assessments of programs, as required.
      • Conducts and submits full Site Security Surveys of every site visited.
      • Conducts and submits Trip Reports of all high-risk field deployments.
      • The above should be completed using the Security Department approved templates, and be submitted to the Director of Global Security and the other HQ security staff.
    • Keep excellent records and logs to ensure continuity of this position
    • Human Resources:
      • Oversee the recruitment and selection of qualified national security field staff, recommend promotions, disciplinary action and termination of staff in consultation with the Country Director
      • Make frequent site visits to facilities to carry out security assessments and ensure appropriate care and training are being conducted. Maintain open lines of communications with all field staff
      • Training/Capacity Building:
      • Determine training needs for the security staff
      • Train senior national staff to increase their responsibilities in order to build capacity and ensure sustainability
      • Works with DGS and CD to conduct any staff security training that is warranted.
    • Working Relationships:
      • Maintain excellent working relationships as a member of the country team senior management.
      • Build strong professional relationships with UN agencies, local authorities and other NGO’s
      • Maintain local networks to ensure community acceptance and local information


    Representation:

    • Attends security coordination meetings and updates CD on current security issues
    • Contribute to the creation of a positive image and overall credibility of the organization, notably through the application of the organizations Code of Conduct, ethics, values and stand-point with regard to internal and external actors.

    Qualifications
    Experience:

    • The commitment and some demonstrated training skills to build national staff capacity, in the areas of supply chain management.

    • Ability to integrate and work well within multi-ethnic and multicultural teams
    • Ability to work in harsh conditions, often in remote areas.
